Job Description

Job Summary White Mountain Physical Therapy is seeking a full time Patient Care Coordinator/Scheduling Specialist! Our small, close-knit team prides itself on delivering personalized care in a warm, welcoming environment. We're growing and looking for an organized, people-first Care Coordinator to be the heartbeat of our front office! You'll keep our schedules running smoothly, ensure patients get the care they need, and support our therapists so they can focus on what they do best. This role blends scheduling, insurance coordination, patient communication, and general office management. Duties Manage and optimize the daily patient schedule for physical therapists, minimizing gaps and maximizing care access Answer phones, greet patients, and handle check-in/check-out with warmth and efficiency Verify insurance eligibility, obtain authorizations, and communicate benefits and copays clearly to patients Coordinate referrals from physicians and follow up on outstanding orders Maintain accurate patient records and documentation in our EMR/scheduling software Collect copays and process payments at the time of service Contact patients for appointment reminders, reschedules, and follow-up care Communicate with payers, physicians, and other providers on behalf of the practice Support the clinical team with administrative tasks as needed Required Skills Exceptional organizational skills and attention to detail Warm, professional communication style Ability to multitask and stay calm during busy periods High school diploma required; associate's or bachelor's degree preferred Additional Skills (not required, but a plus) Experience in a medical front office, scheduling, or care coordination role Familiarity with insurance verification and prior authorization processes Comfortable with EMR/scheduling software Join us in our mission to make healthcare feel human again by applying today!
