Patient Experience Coordinator - Aesthetic & Wellness Practice $18-$26/hr | Full-Time | East Brunswick & Marlboro, NJ
ABOUT TKI & THIS OPPORTUNITY
The Kaga Institute of Medicine & Aesthetics (TKI) is a physician-led aesthetic and wellness practice dedicated to delivering exceptional patient care and elevated experiences. As we continue to grow, we are seeking a Patient Experience Coordinator who is passionate about customer service, organization, and creating meaningful connections with patients. This role serves as the first point of contact for many of our patients and plays a vital role in ensuring every interaction reflects the professionalism, warmth, and attention to detail that define the TKI experience. The ideal candidate thrives in a fast-paced environment, enjoys helping people, and takes pride in creating a welcoming and seamless patient journey.
WHAT YOU'LL DO
Welcome and assist patients in person, by phone, and through digital communication platforms Manage appointment scheduling, confirmations, and follow-up communications with accuracy and efficiency Learn and confidently discuss TKI's aesthetic, wellness, regenerative medicine, internal medicine, and dental services Guide patients through the consultation and treatment scheduling process Process payments, maintain patient records, and support HIPAA-compliant office operations Monitor scheduling opportunities, cancellations, and waitlists to help maximize provider schedules Maintain a polished, organized, and welcoming reception environment Support patient engagement initiatives, events, and practice promotions as needed Collaborate with clinical and administrative team members to ensure an exceptional patient experience
WHAT WE'RE LOOKING FOR 3-5
years of customer service, hospitality, medical office, or patient-facing experience preferred Previous experience in a medical spa, healthcare practice, dental office, or luxury service environment strongly preferred Outstanding communication, interpersonal, and phone skills Strong organizational abilities and attention to detail Ability to multitask and remain composed in a busy environment Professional appearance and demeanor consistent with a high-end patient experience Familiarity with EMR systems, scheduling software, or CRM platforms is a plus
