We are seeking an experienced Office Manager who can run operations like a true practice operator — someone with hands-on experience managing billing, staff, and workflow in a busy OON and PPO setting. This is not a front-desk management job — it's a leadership position for someone who understands the full operational picture of a specialty medical practice. Key Responsibilities Oversee daily operations of the medical office, including patient intake, scheduling, insurance verification, and staff management. Manage and optimize billing workflows for both PPO and out-of-network reimbursements — from eligibility checks to claim submission, denials, and appeals. Coordinate with billing vendors and monitor reimbursement performance for vein, vascular, and pain management procedures. Develop and maintain relationships with referring physicians, attorneys, and partners to support patient volume and case mix. Lead front and back-office staff — ensuring efficiency, professionalism, and compliance with all healthcare and payer regulations. Track and report operational KPIs , including collections, A/R days, reimbursement trends, and patient conversions. Assist leadership in marketing coordination, physician scheduling, and practice development projects. Ensure compliance with all medical board, OSHA, and HIPAA regulations. Required Experience 5+ years of management experience in a medical office setting. Mandatory experience in PPO and out-of-network billing , especially for veins/vascular and pain management procedures. Strong knowledge of medical billing workflows , EOB interpretation , and denial management . Experience coordinating with third-party billing companies and verifying OON benefits . Excellent leadership, organization, and communication skills. Ability to manage multiple priorities while maintaining a positive and professional office culture. Preferred Skills Prior experience in interventional pain , vascular , or wellness&IV infusions /diagnostic practices. Familiarity with EMR platforms like Athena, Kareo, or AdvancedMD. Understanding of (IV therapy, peptides, or wellness services). Comfort managing both clinical and administrative staff. Compensation & Benefits Competitive salary (based on experience).
