Office & Patient Experience Coordinator, Medical Massage Specialists - Ithaca, NY $22-$26 per hour Part-Time | 10-15 hours per week Medical Massage Specialists is seeking a warm, organized, and dependable Office & Patient Experience Coordinator to help support our growing specialty medical massage practice. This role is ideal for someone who enjoys creating calm, beautiful spaces, building relationships, staying organized, and helping both patients and therapists have an exceptional experience. Flexible scheduling is available, although one weekend shift is required. ResponsibilitiesPatient Experience Welcome and assist patients in a friendly and professional manner. Check patients in and out and assist with scheduling appointments. Help maintain a calm, supportive, and professional atmosphere. Serve as a point of contact for patients and therapists when multiple therapists are working. Office Operations Maintain clean, organized treatment rooms and waiting areas. Manage laundry, room turnover, and daily housekeeping tasks. Refill and maintain the water station and trash receptacles. Water plants and help maintain a welcoming environment. Order and maintain supplies, linens, oils, creams, and other office materials. Assist with equipment maintenance and office improvements. Team Support Enter therapist schedules into Acuity and manage schedule changes. Coordinate onboarding of new employees. Order scrubs, liability insurance and supplies . Coordinate training days and support therapist success. Assist with appointment scheduling and patient communication. Marketing and Community Outreach Take or send photos for social media and website content. Coordinate open houses, community events, and introductory sessions. Build and maintain relationships with physician and dental offices. Help organize and attend events and outreach activities. Maintain a calendar of events and community opportunities. Administrative Duties Submit payroll twice monthly. Coordinate accounting information with our accountant. Maintain business memberships and directory listings. Assist with special projects and ongoing growth of the practice. answering calls, texts and relaying messages in real time. Qualifications Strong organizational and communication skills. Warm, professional, and dependable personality. Comfortable with technology and online scheduling systems. Ability to work independently and take initiative. Excellent attention to detail. Experience in healthcare, wellness, hospitality, customer service, or office administration is preferred but not required. Compensation & Schedule $22-$26 per hour , depending on experience. Approximately 10-15 hours per week . Flexible scheduling. One weekend shift required. Supportive and collaborative work environment.
