Job Description

We are looking for a warm, organized, and dependable Patient Experience Coordinator & Office Lead to become the welcoming face of our practice while also serving as a key leader and culture driver for our team. Beyond patient experience, this role is also about leadership, communication, and helping create an environment where both patients and team members thrive. About the Role As the first and last impression our patients experience, you will play a critical role in creating a welcoming, positive, and memorable environment. You'll help ensure patients feel cared for, informed, and appreciated throughout their visit while also serving as a trusted liaison between leadership and the team. This role combines hospitality, patient experience, office coordination, team leadership, and operational support into one highly impactful position. What You'll Do The Role in

Supporting culture, communication, accountability, and team alignmentOffice Coordination:
Helping ensure the office runs smoothly, efficiently, and professionally every day Patient Experience Be the warm, genuine first face every patient sees — by name whenever possible Create arrivals that feel like a welcome, not a check-in process Lead patient check-in and assist with checkout as needed Ensure patients understand and complete all necessary forms, consents, treatment estimates, and other documentation Coordinate appointment confirmations and patient communication Jump in to assist with phones during busy periods while remaining focused primarily on in-office patient experience Team Leadership & Communication Serve as a trusted resource and point person for the team Help ensure team members feel heard, supported, and connected Communicate questions, concerns, feedback, and opportunities to leadership Help leadership stay in tune with day-to-day office dynamics and team needs Support leadership in driving accountability, consistency, and a positive team culture Help keep the team organized, aligned, and moving forward together Office Coordination & Operations Help oversee the day-to-day upkeep and appearance of the office Coordinate office supplies, inventory, and general operational needs Assist with building and equipment maintenance coordination Support the administrative team with day-to-day office tasks as needed Help identify areas for improvement in office flow, organization, and patient experience Track issues proactively and help ensure they are resolved efficiently What We're Looking For Instinctive warmth — people feel it before you've said a word Strong leadership presence without needing a formal title Exceptional communication and interpersonal skills Highly organized with strong attention to detail Ability to multitask and stay composed in a fast-paced environment A proactive mindset and willingness to take ownership Team player willing to jump in wherever needed Someone who naturally creates structure, positivity, and accountability around them Experience in healthcare, hospitality, customer service, or dental/medical offices is a plus Why Join Us?
