Job Summary:
The Clinic Litigation Support Coordinator provides comprehensive litigation and medical legal support for a medical group. This role serves as a key liaison between the organization, legal counsel, providers, and external entities by coordinating legal requests, managing protected health information (PHI) disclosures, supporting litigation readiness, and ensuring compliance with healthcare regulations.
Essential Functions and Responsibilities:
Coordinate and manage responses to subpoenas, court orders, discovery requests, and attorney requests for medical records and related documentation. Serve as the primary point of contact between the medical group, internal leadership, outside counsel, and insurance carriers regarding litigation matters. Assist with case tracking, litigation calendars, deadlines, and documentation management. Prepare litigation support materials, summaries, chronologies, and record indexes for legal counsel as requested. Support provider preparation for depositions, testimony, and legal interviews in coordination with counsel and leadership. Ensure timely, accurate, and legally compliant release of medical records in accordance with HIPAA, state privacy laws, and organizational policies. Review legal requests to determine validity, scope, and appropriate response. Redact records as required and maintain strict confidentiality of sensitive information. Maintain detailed logs of legal requests, disclosures, and responses. Maintain organized electronic and physical legal files in accordance with retention policies. Track case status, outcomes, and trends for reporting and quality improvement purposes. Generate reports and metrics related to litigation activity, record requests, and turnaround times. Perform other responsibilities as assigned.
Education:
High school diploma or GED required.
Work Experience:
1-5 years' experience in healthcare or a law firm. Prefer experience in a medical setting Prefer experience with electronic health record (EHR) systems and legal case management tools. Licensure, Registration and/or

Ability to establish and maintain effective working relationships with physicians, staff, co-workers and the public. Ability to sort and organize materials.

Work is performed in a medical office setting. May be exposed to communicable diseases, toxic substances, ionizing radiation, medical preparations, biohazards, bodily fluids and other conditions common to a clinic setting. Involves frequent contact with staff and the public. Contact involves dealing with sick persons. Interaction with others may be constant and interruptive. Work may be stressful at times. May involve dealing with angry or upset individuals. May periodically work outside of normal work hours.
Physical Requirements:
Requires sitting for long periods of time. Requires viewing computer screen and typing for long periods. Requires normal physical strength to exert up to 30 pounds of force occasionally and/or up to 10 pounds of force frequently to move objects. Requires normal physical agility, which includes stooping, bending and stretching to access files and supplies. Requires normal concentration regarding complexity and timeliness of decision making.
