Office Manager / Patient Care Coordinator

small Grants Pass healthcare office is seeking a highly organized, experienced, and self-directed Office Manager / Patient Care Coordinator to oversee and manage the daily administrative and operational functions of the clinic. This is a leadership-level position requiring an individual who can work independently, manage multiple priorities with minimal supervision, and confidently oversee front office operations, patient coordination, insurance verification, billing support, and administrative workflow. The ideal candidate is proactive, detail-oriented, solution-focused, and capable of maintaining a professional, welcoming, and efficient environment while supporting both patient care and clinic operations at a high level. This role is best suited for someone with prior healthcare office management experience who understands chiropractic or medical office procedures, insurance systems, patient communication, and practice operations.
ESSENTIAL JOB RESPONSIBILITIES
Office Operations & Leadership Independently manage daily front office operations and ensure smooth clinic workflow. Maintain a professional, organized, and patient-centered office environment. Demonstrate leadership, initiative, accountability, and strong decision-making skills. Identify operational inefficiencies and assist with implementing improved systems and procedures. Maintain readiness and organization of the reception area and clinic throughout the day. Manage administrative priorities effectively in a fast-paced healthcare office environment. Handle sensitive and confidential information with discretion and professionalism. Patient Care Coordination Serve as the primary point of contact for patients and provide exceptional customer service. Greet and assist patients in a warm, professional, and compassionate manner. Schedule appointments efficiently while optimizing provider schedules and patient flow. Assist patients with registration forms, intake documentation, and financial questions. Professionally manage difficult conversations and maintain composure under pressure. Maintain consistent communication with patients regarding appointments, billing, insurance, and care coordination. Insurance Verification & Billing Perform thorough insurance verification including eligibility, copays, deductibles, authorizations, and benefit explanations. Communicate insurance coverage and patient financial responsibility clearly and accurately. Submit and track insurance authorizations and related documentation. Understand and support billing procedures, payment collection, patient balances, and accounts receivable processes. Review patient statements and ensure billing accuracy. Accurately balance receipts, payments, and daily deposits. Documentation & Compliance Maintain accurate electronic patient records with exceptional attention to detail. Scan, upload, and organize documents within patient charts. Maintain strict HIPAA compliance and safeguard Protected Health Information (PHI). Ensure compliance with clinic policies and federal/state privacy regulations. Communication & Technology Communicate professionally and effectively in English, both verbal and written. Utilize EHR/EMR systems, scheduling software, email, messaging platforms, and office technology efficiently. Demonstrate strong computer proficiency and adaptability with evolving systems and software. Team Support Support providers and contribute positively to overall clinic operations. Collaborate professionally with coworkers while also functioning independently. Assist with training, organization, and workflow coordination when needed. Perform additional duties as assigned.
ADDITIONAL QUALIFICATIONS & SKILLS
Extensive experience in a chiropractic, medical, or healthcare office preferred. Strong independent work ethic with the ability to manage responsibilities with minimal supervision. Advanced understanding of insurance verification, claims processing, EOBs, authorizations, and patient billing. Excellent multitasking, organizational, and time-management abilities. Strong problem-solving and critical-thinking skills. Ability to remain calm, professional, and efficient during busy or stressful situations. Exceptional customer service and interpersonal communication skills. Strong financial accuracy and attention to detail. Professional appearance and demeanor required. Reliable attendance and punctuality are essential. Experience with patient retention, scheduling optimization, and workflow management preferred.
WORKING CONDITIONS & PHYSICAL DEMANDS
This position functions on the front lines of clinic operations and is essential to maintaining a positive patient experience and efficient office environment. The employee must be able to: Sit, stand, walk, bend, and move throughout the clinic during shifts. Perform repetitive computer and administrative tasks. Lift 5-15 pounds frequently and occasionally up to 30 pounds. Maintain focus while multitasking and managing interruptions. Remain calm and professional during emergency or high-pressure situations. Work efficiently in a fast-paced healthcare setting.
QUALIFICATIONS & EDUCATION
Minimum 2 years experience in a healthcare, chiropractic, or medical office preferred. Strong knowledge of insurance verification, HIPAA regulations, and healthcare administrative procedures. High school diploma or GED required. Advanced customer service and patient communication skills required. Strong proficiency with modern office technology and software systems. Ability to quickly learn clinic software and procedures. Professional verbal and written English communication required.
COMPENSATION
Compensation is based on experience, qualifications, independence, and demonstrated ability to manage office operations effectively.
Expected pay range:
