About Oregon Medical Research Center :
Oregon Medical Research Center is a premier dermatology research clinic in Portland, OR with board-certified dermatologists and a highly experienced and dedicated staff. Since 1998, our center has conducted clinical trials of both approved and investigational medications for dermatologic conditions. We are committed to research excellence and personalized patient care and our mission is to work with patients and medical companies to find future treatments for better health. Oregon Medical Research Center is located in Portland, Oregon, in the South Waterfront area.
Position:
We are seeking a detail-oriented Clinical Administrative Coordinator to support our clinical research operations under the supervision of the Operations Manager and Business Owners. This role is integral to the success of our research site, providing administrative support, coordinating front desk activities, and managing the recruitment and scheduling of research participants. The ideal candidate will be highly organized, professional, strong digital literacy and technical aptitude, capable of managing multiple priorities, and take initiative to support both patients and other staff. The work includes, but is not limited to, the following:
Essential Functions:
Front Desk & Reception Duties:
Greet and check in research participants and visitors in a professional and welcoming manner. Manage the main phone line; answer calls, direct inquiries, and take accurate messages. Schedule, reschedule, and submit payments for participant visits in accordance with study protocols. Confirm upcoming appointments with participants and study staff. Ensure proper documentation and organization of participant communications and scheduling notes.
Recruitment Management:
Support participant recruitment efforts including responding to inquiries, conducting preliminary phone calls, and entering information into tracking systems. Maintain and grow client and newsletter mailing lists. Manage research participant waitlists and update families as needed. Maintain accurate and up-to-date records of outreach and follow-ups. Assist with social media, marketing, and website.
Office & Administrative Support:
Order and maintain office and clinical supplies, ensuring adequate stock and cost-effective purchasing. Coordinate internal events and support a positive team experience. Assist with special projects and administrative process improvements. Coordinate with vendors and service providers as needed (e.g. building management, IT, etc.) Assist with employee onboarding including updating internal spreadsheets and enrollment into health insurance and 401k plans.
Qualifications:
High school diploma or equivalent required; Associate's or Bachelor's degree preferred. 2+ years of administrative, front desk, or office management experience; experience in a clinical research or medical office setting highly preferred. Excellent communication, telephone, and interpersonal skills. Strong organizational and time-management abilities with attention to detail. Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams) and familiarity with scheduling systems. Ability to maintain confidentiality and professionalism in a regulated healthcare environment. Comfortable interacting with diverse patient populations and working in a team-oriented setting. Compliance with GCP, federal, state, and local regulations, including HIPAA policies and procedures. Bilingual proficiency in Spanish is highly desirable but not required.
