Job Description

Evening Front Desk & Patient Coordinator Relief Chiropractic — Levittown, PA 19057 Part-Time | In-Office | Evenings & Saturdays $17-$18/hour The role Relief Chiropractic is looking for a front desk patient coordinator who can own the desk, guide patients, and help keep the schedule full and organized. This is not just a receptionist job. The person in this seat is often the first and last person a patient speaks with. You greet patients, check them in and out, collect payments, schedule follow-up visits, answer phones, and help the day run smoothly. But the real job is making sure patients do not fall through the cracks — and helping them follow through on the care they need. When a patient leaves without scheduling, you notice. When someone cancels or misses, you follow up. When a new patient calls or walks in with questions, you engage them and help them take the next step. When something needs attention, you bring it directly to the doctor or the team instead of letting it sit. We are looking for someone warm, steady, organized, and direct enough to protect the schedule. Patients should feel welcomed and cared for — and they should also leave with a plan. What this job is This is an in-office, patient-facing role for someone who likes helping people and stays aware of what is happening around them. You will help patients stay on track with their care, keep appointments organized, handle payments professionally, and make sure important details do not get missed. This role also includes helping patients understand the financial side of their recommended care plan after the doctor explains the clinical findings and treatment recommendation. You may discuss visit costs, prepaid and self-pay options, payment expectations, and scheduling the recommended visits. This is not high-pressure sales, and you will never be asked to push care beyond what the doctor recommends. But the right person is comfortable talking about money, answering patient concerns honestly, and helping a hesitant patient make a decision instead of letting them walk out without a plan. Schedule Approximately 16-20 hours per week:
Monday:
approximately 5:00-9:00
PM Wednesday:
approximately 5:00-9:00
PM Friday:
approximately 2:30-8:30
PM Saturday:
rotating coverage required, typically every other or every third Saturday, approximately 12:30-4:00 PM This is the expected schedule for the position. We are glad to talk through occasional needs for the right person, but reliable evening and rotating Saturday availability is essential. Responsibilities Greet patients warmly and check them in and out Schedule, reschedule, and confirm appointments Make sure patients book their next visit before leaving Answer phones and respond to patient questions Call or text patients who miss, cancel, or need follow-up Discuss visit costs, balances, and prepaid/self-pay options clearly and professionally Help patients understand, decide on, and schedule their recommended care plan after the doctor explains the treatment recommendation Handle patient hesitation respectfully when they need to think about cost, scheduling, or frequency of care Collect copays, balances, and payments professionally Enter charges and patient information accurately Keep the schedule organized and patient flow moving Communicate clearly with the doctor and team Track follow-up items such as referrals, MRI/EMG orders, insurance items, and pending patient needs Assist with basic therapy setup after training Keep the front desk organized and under control Who this is for This may be a good fit if you are: Friendly and professional with patients Comfortable talking on the phone Organized and able to follow systems Calm when the office gets busy Comfortable discussing money, explaining options, and asking patients to schedule recommended visits Willing to ask questions directly when unsure Able to take correction, learn quickly, and improve Someone who notices when something needs to be handled Reliable with evening and rotating Saturday hours The kind of person who cares whether patients follow through and get better Who this is not for This is probably not the right fit if you prefer to sit quietly and wait for instructions, avoid phone calls, avoid direct conversations, freeze when several things happen at once, get uncomfortable discussing money, or see patients as names on a schedule instead of people who need help. Experience Related experience in a medical office, dental office, chiropractic office, physical therapy office, scheduling, customer service, or sales is preferred. We will train the right person if you are reliable, warm with patients, comfortable discussing money and scheduling, and able to learn quickly. Bilingual English/Spanish is a plus, but not required.
