Your Mission You will serve as the operational heartbeat of the practice and help create a concierge-level patient experience from the first phone call through long-term follow-up. You will work closely with the physician and leadership team to ensure patients feel welcomed, cared for, informed, and supported throughout their healthcare journey. You will help ensure that no patient falls through the cracks. Ever. Key Responsibilities Patient Experience Serve as the primary point of contact for patients Create an elevated, concierge-level experience for every patient Build genuine relationships with patients and families Coordinate appointments, testing, procedures, and follow-up care Communicate professionally by phone, text, email, and in person Proactively follow up with patients to ensure continuity and satisfaction Help patients understand programs, services, and next steps Clinical Operations Obtain vital signs and patient information Prepare treatment rooms and assist with procedures Coordinate laboratory testing and prescriptions Maintain accurate EMR documentation Assist with advanced longevity, hormone, regenerative, metabolic, and wellness services Ensure patients complete recommended follow-up steps Practice Operations Monitor patient journeys and identify gaps Improve systems and workflows Assist with operational projects Help maintain a beautiful, organized clinical environment Support practice growth initiatives Bring ideas that improve efficiency and patient experience Ideal Experience 3+ years in concierge medicine, private practice, luxury hospitality, executive support, medical office operations, patient coordination, country clubs, private aviation, high-end wellness, or exceptional customer service environments Medical Assistant experience strongly preferred Phlebotomy experience preferred Strong technology and EMR skills Outstanding written and verbal communication skills Exceptional organization and follow-through Experience serving discerning, executive, or high-net-worth clientele is highly valued Compensation & Benefits Starting compensation: $24-$28 per hour based on experience, capability, and demonstrated performance.
