Position Overview We are seeking a highly organized, dependable, and proactive ABA Authorization & Administrative Support Lead to oversee critical backend healthcare operations within a fast-paced, dynamic, ABA organization. This role is responsible for directly managing the prior authorization process while supporting healthcare compliance, employee compliance, onboarding processes, operational workflows, and administrative deadlines. Experience requesting, submitting, tracking, and following up on prior authorizations for Medicaid managed care and commercial insurance plans is required. This is a hands-on operational role. The ABA Authorization & Administrative Support Lead is responsible for directly managing prior authorization requests, payer follow-up, tracking, coordination, and administrative support responsibilities. This position answers to and supports the Vice President of Operations and Clinical Director. The ideal candidate must be able to work independently, maintain organization, meet deadlines, follow established workflows and policies, and quickly implement training, feedback, and operational direction as needed. Administrative support is a core part of this role and includes assisting leadership with workflow coordination, operational follow-up, scheduling support, compliance-related tasks, staff communication, organizational projects, and other administrative responsibilities as needed to support efficient program operations. Leadership, accountability, and initiative are expected; however, the candidate must remain receptive to oversight, responsive to changing priorities, adaptable to workflow adjustments, and able to quickly implement feedback, training, and operational direction as needed.

$23-$26/hour based on experience Hybrid flexibility may be available in the future based on performance and operational needs. Commitment to working Monday through Friday in-office is required during training and onboarding. Key Responsibilities Prior Authorizations & Insurance Coordination Request, submit, and track prior authorization requests Working knowledge of insurance and healthcare systems including Availity, Florida Medicaid Portal, Sunshine Health Portal, Optum/UHC systems, Aetna/Cigna/BCBS-LUCET portals, authorization submission portals, EMR/EHR systems, and related payer communication platforms required Track prior authorization expiration dates, monitor authorization timelines, and coordinate reauthorization submissions with appropriate advance notice, including 45-day reauthorization tracking requirements when applicable Ensure all authorizations remain active and prevent avoidable authorization lapses through proactive tracking, follow-up, and coordination Develop relationships with and follow up with physician offices to obtain documentation Maintain oversight of authorization workflows and ongoing deadlines Monitor authorization approvals, expirations, renewals, and deadlines Follow up with insurance plans regarding pending, delayed, or denied requests Ensure all required clinical documentation is complete prior to submission Coordinate with clinicians and administrative staff to obtain missing information Maintain accurate authorization tracking systems and records Escalate urgent authorization concerns proactively to leadership Healthcare Compliance & Employee Compliance Track employee credentialing, trainings, and compliance-related requirements Monitor expiration dates and ensure ongoing compliance deadlines are met Maintain organized and audit-ready administrative documentation Identify missing, incomplete, or outdated documentation proactively Support healthcare administrative compliance processes and operational standards Assist with onboarding processes for new employees, including tracking required documentation and onboarding tasks Operational Support Support backend administrative workflows and organizational systems Assist with scheduling coordination and operational workflow support as needed Support communication between administrative staff, clinicians, and families Send operational notifications and follow-up communications to staff and families Complete and monitor daily attendance processes Maintain organized systems across multiple operational areas Perform additional administrative duties as assigned Assist with special projects and seasonal operational initiatives, including summer therapy scheduling, obtaining documentation for clinical reviews, operational follow-up, and participation in networking or community outreach events as needed Qualifications Minimum 2 years of experience in healthcare administration, prior authorizations, referrals, insurance coordination, onboarding, compliance, or related healthcare operations Experience independently requesting and tracking prior authorizations required Knowledge of Medicaid managed care and commercial insurance processes strongly preferred Must be a self-starter with the ability to work independently and maintain follow-through without constant oversight Strong problem-solving skills with the ability to identify issues, prioritize tasks, and take initiative proactively Ability to independently prioritize responsibilities and manage multiple operational deadlines simultaneously Demonstrated leadership qualities, professionalism, accountability, and ability to help maintain operational structure within a fast-paced healthcare environment Strong organizational skills with the ability to manage multiple deadlines simultaneously Detail-oriented with strong communication and follow-through Comfortable working in a fast-paced healthcare environment Proficient with technology, including Google Workspace, EMR/EHR systems, insurance portals, and payer communication platforms Bilingual English/Spanish preferred What Success Looks Like Prior authorizations are submitted accurately and on time Authorization coverage remains active without preventable lapses Compliance requirements and onboarding tasks are completed proactively Administrative systems remain organized, updated, and audit-ready Deadlines are managed proactively without repeated reminders Operational tasks are completed consistently and efficiently Communication is timely, professional, and solution-oriented Problems are identified and addressed proactively without excessive direction Reporting Structure The ABA Authorization & Administrative Support Lead works closely with clinical and operational leadership teams to support continuity of care, compliance, and administrative efficiency. This position reports directly to the Vice President of Operations and Executive Clinical Director.
