We are seeking a motivated, professional, and relationship-focused Behavioral Health Admissions Coordinator to join our admissions team. This position serves as the first point of contact for prospective clients, families, referral sources, hospitals, therapists, and healthcare professionals seeking treatment services. The ideal candidate is compassionate, organized, and able to guide individuals through the admissions process during some of the most difficult moments of their lives. Essential Responsibilities Respond promptly to incoming calls, emails, website inquiries, and referral requests. Conduct initial screenings and gather demographic, clinical, insurance, and referral information. Coordinate pre-admission assessments and admission logistics. Verify insurance benefits and communicate coverage information to clients and families. Educate clients, families, and referral sources regarding services, treatment options, program expectations, and admission requirements. Maintain ongoing communication with hospitals, therapists, physicians, case managers, and community referral partners. Complete admissions documentation accurately and timely. Obtain required releases of information, consents, and intake paperwork. Collaborate with clinical, nursing, medical, and operations teams to ensure smooth admissions. Maintain accurate documentation within the electronic medical record system. Track admissions activity, referral outcomes, census trends, and inquiry data. Participate in admissions and census meetings. Assist with outreach efforts and relationship development with referral sources. Maintain compliance with HIPAA, state regulations, accreditation standards, and company policies. Deliver exceptional customer service and support to individuals and families throughout the admissions process. Qualifications Minimum one year of experience in admissions, intake, healthcare, behavioral health, substance use treatment, customer service, or a related field. Experience verifying insurance benefits and obtaining VOBs preferred. Experience working in residential treatment, PHP, IOP, mental health, or substance use treatment settings strongly preferred. Strong interpersonal, communication, and customer service skills. Ability to establish rapport quickly with clients, families, and referral sources. Strong organizational skills and attention to detail. Ability to manage multiple priorities in a fast-paced environment. Ability to maintain confidentiality, professionalism, and appropriate boundaries. Experience with electronic medical records and Microsoft Office preferred. Ability to work evenings, weekends, and participate in on-call rotations as assigned. Preferred Experience Behavioral Health Admissions Mental Health Treatment Substance Use Disorder Treatment Insurance Verification and Authorizations Call Center Operations Healthcare Sales or Outreach Electronic Medical Records Work Environment This position is based in a small, upscale, professional admissions center located in Lake Worth Beach, Florida. The Admissions Coordinator primarily works in person to support collaboration, responsiveness, and continuity of care. Limited remote work opportunities may be available based on performance and business needs. The role requires frequent communication with prospective clients, families, referral sources, hospitals, therapists, physicians, and community partners. The ideal candidate is comfortable managing multiple calls and inquiries while maintaining empathy, professionalism, discretion, and attention to detail. The Admissions Coordinator must demonstrate compassion, patience, sound judgment, and professionalism at all times.
