Job Description
LIVbetter Infusions is a physician-led outpatient infusion and wellness clinic opening in Wheaton, Illinois. We are looking for a highly organized, self-directed Part-Time Clinic Launch Consultant & Marketing Manager to help guide the clinic through its pre-opening phase and early launch. This role is ideal for someone with experience in healthcare operations, clinic startups, medical office management, med spa operations, infusion services, outpatient clinics, or healthcare marketing. The right candidate will help turn a new clinic buildout into a functioning business by organizing timelines, vendors, workflows, marketing tasks, referral outreach, and launch preparation. About LIVbetter LIVbetter Infusions is designed to provide a more comfortable, private, and elevated infusion experience for patients receiving IV hydration therapy, injectable treatments, ketamine therapy, and prescription infusion services. Our goal is to combine medical oversight, patient comfort, efficient operations, and strong local physician/referral relationships. Position Summary The Clinic Launch Consultant & Marketing Manager will help coordinate the major tasks needed to prepare LIVbetter for opening, including operational setup, vendor coordination, staff preparation, marketing execution, and physician/community outreach. This is a hands-on role for someone who can take a broad opening checklist and convert it into organized weekly action items. Key Responsibilities Clinic Launch & Operations Support Help manage the pre-opening launch timeline Organize weekly task lists, deadlines, and priorities Coordinate with vendors, contractors, suppliers, consultants, and staff Assist with setup of clinic workflows, front desk processes, patient intake, and scheduling flow Help organize supply lists, equipment lists, and opening inventory Track outstanding items related to construction, signage, furniture, supplies, phones, fax, internet, EMR, and patient forms Help prepare opening checklists, room setup lists, and daily clinic workflows Assist with staff onboarding and training coordination Help prepare for mock patient visits and soft opening Identify operational gaps before launch Marketing & Brand Launch Help execute the pre-opening marketing plan Manage or coordinate Google Business Profile setup and updates Coordinate website updates, service pages, booking links, and contact forms Help develop social media content leading up to opening Coordinate photography, interior photos, staff photos, and clinic visuals Create simple marketing materials such as flyers, one-page service sheets, and referral packets Assist with local awareness campaigns Help plan launch announcements, soft opening promotions, and community outreach Physician & Community Outreach Help build a list of local referral sources Coordinate outreach to physician offices, therapists, psychiatry offices, rheumatology, GI, neurology, dermatology, primary care, and concierge practices Help prepare referral packets and physician-facing materials Track outreach attempts, responses, follow-ups, and potential referral partners Help create scripts for phone calls, emails, and in-person office visits Assist with local partnership outreach to gyms, wellness centers, high-end businesses, and community organizations Project Management Maintain a master opening tracker Keep leadership updated on what is completed, delayed, or blocked Help prioritize what must be done before opening versus what can wait Attend weekly launch meetings Create clear follow-up lists after meetings Make sure important tasks do not fall through the cracks Ideal Qualifications Required Strong organizational and project management skills Excellent communication skills Ability to manage multiple moving pieces at once Comfortable working independently Experience with healthcare, wellness, med spa, outpatient clinic, or medical office operations Basic understanding of marketing, social media, website coordination, and local outreach Comfortable using spreadsheets, project trackers, Google Workspace, Canva, CRM tools, or similar platforms Detail-oriented and deadline-driven Preferred Experience helping open a medical office, infusion center, med spa, ketamine clinic, wellness clinic, dental office, or outpatient practice Experience with healthcare marketing Experience with physician referral outreach Familiarity with EMR setup, patient intake workflows, HIPAA-sensitive environments, or medical front desk workflows Experience managing Google Business Profile, local SEO, or online reviews Familiarity with Canva, Wix, Squarespace, Webflow, WordPress, GoHighLevel, HubSpot, Monday.com, Asana, Trello, or similar tools Who Would Be a Great Fit Highly organized and proactive Comfortable creating structure from chaos Able to take a vague goal and turn it into a practical checklist Good at following up with vendors and team members Professional and polished in communication Familiar with healthcare or wellness businesses Able to balance operational details with marketing execution Excited to help launch a new clinic from the ground up Schedule This is a part-time role during the launch phase.
Expected time commitment:
Approximately 10-20 hours per week Flexible schedule Some in-person availability preferred Additional hours may be available closer to opening Potential to continue after launch depending on fit and clinic needs Compensation Competitive hourly or contract compensation based on experience.Compensation will depend on:

This role may be partly remote, but local candidates are preferred because some responsibilities involve in-person vendor coordination, clinic setup, photography, community outreach, and physician office visits.
