You will ensure the clinical team operates at peak efficiency and consistency across both locations. Own MA workflow, tech staff compliance, diagnostics scheduling, surgical clearance coordination, and clinical document indexing. This role is the operational backbone of the clinical floor. Key Responsibilities MA Workflow & Performance Ensure all MAs complete chart prep before rooming every patient — unprepped rooms are tracked and addressed. Monitor room-to-room turnover time per physician; identify and remove workflow bottlenecks daily. Conduct monthly workflow audits on a rotating basis across both locations. Indexing & Virtual Assistant Oversight Oversee the virtual assistant responsible for clinical document indexing — set daily task queues, monitor accuracy, and review completion rates weekly. Ensure all incoming clinical documents (referrals, records, imaging reports) are indexed in ModMed within 24 hours of receipt. Establish and maintain indexing standards — wrong chart, wrong document type, or missing documents are tracked as errors. Escalate indexing backlogs to CEO before they impact provider workflows. Triage, Surgery Clearance & Supply Ensure surgery clearance documentation is completed and in chart minimum 48 hours before scheduled procedure. Oversee clinical supply inventory — no room runs out of supplies during clinic hours. Ensure triage protocols are followed consistently and documented in ModMed. Tech Staff & Diagnostics Supervise CT tech, ultrasound tech, and allergy techs — maintain current licensure and certification records for all. Ensure allergy injection supervision protocol is followed per Georgia requirements at all times. Oversee diagnostics scheduler — all CT, ultrasound, and off-site hospital orders scheduled same day as physician order. Track order-to-appointment turnaround time; escalate delays to CEO. Staff Management & Reporting Hire, onboard, train, and evaluate all clinical staff under this role. Build and manage clinical schedules across both locations — no provider left without MA coverage. Report weekly to
CEO:
MA coverage, workflow audit findings, credential status, indexing completion rate, surgery clearance turnaround, and diagnostics scheduling. Qualifications Minimum 3-5 years in a clinical MA or clinical lead role in a specialty practice. Direct supervisory experience managing a team of 5 or more. Experience overseeing or coordinating with virtual/remote staff preferred. ModMed EMR experience strongly preferred Understanding of ambient scribe workflows and physician documentation requirements. Familiarity with surgical clearance documentation and pre-op coordination. Knowledge of Georgia allergy injection supervision requirements preferred. ENT or multispecialty practice experience strongly preferred. Success Metrics Chart prep completion rate before rooming: target 100%. Clinical document indexing within 24 hours of receipt: target ≥98%. Surgery clearance in chart 48+ hours before procedure: target 100%. Same-day note closure rate (ambient scribe): target ≥95% within 8 hours of encounter.

target same business day for routine orders. Zero expired clinical staff credentials at any time.
Provider-to-MA coverage:
zero unmatched providers during scheduled clinic hours.
