Our first priority is the care and considerate treatment of all patients. Many patients come to us in pain, frustrated by injury, or needing clear guidance on the next step in their care. We are looking for someone who shares that commitment and helps patients feel supported from the first phone call through to follow-up. Resilience Orthopedics also places a strong focus on patient education. Dr Pamela Mehta creates educational content to help patients better understand orthopedic injuries, treatment options, recovery, and the decisions involved in their care. This reflects how the practice works: clear communication, informed patients, and thoughtful follow-through. The practice currently supports two part-time providers, an in-office front desk and clinical team, and a fully remote back office team. We are preparing for our next stage of growth and are looking for a strong full-time team member to help anchor the office. This is not a standard Medical Assistant role. It is a broad patient experience and operations role with front desk, Medical Assistant, scheduling, insurance, payments, surgery coordination, and clinic operations responsibilities. Why this role is different This is a good fit for someone who wants more than a basic front desk role. You will work in a physician-led orthopedic practice where patient education, clear communication, and the full patient experience matters. The person in this role helps create calm, clarity, and confidence for patients while also keeping the daily operations of the clinic moving. As the practice grows, this role will have the opportunity to help improve workflows, strengthen the patient experience, and become a key part of how the office runs. About the role You will be one of the first points of contact for patients and a key part of the patient experience. You will help patients move through the practice from first inquiry, scheduling, insurance checks, appointment preparation, imaging, surgery coordination, payment collection, follow-up, and next steps. This is a hands-on role in a small, growing medical practice. The right person will take ownership, follow through, and help improve systems as the clinic grows. Responsibilities Create a warm, professional, and organized patient experience Greet patients and manage front desk flow Answer phone calls using professional etiquette Manage voicemails and route patient requests appropriately Schedule new patient visits, follow-ups, imaging reviews, procedures, and surgery-related appointments Support surgery scheduling, including patient communication, required documentation, clearances, and coordination with surgery centres Verify patient demographics, insurance details, referrals, authorizations, and required forms Support insurance eligibility checks and help resolve coverage-related questions Collect payments, provide payment information, and support accurate billing handoffs Track missing imaging reports, outside records, referrals, and clinical documentation Help manage appointment reminders, follow-up calls, and next-step instructions Support the clinical team with patient flow and rooming when needed Maintain accurate information in the EMR and related clinic systems Coordinate with the fully remote back office team to keep patient care and administrative workflows moving Escalate urgent patient issues, missing reports, payment concerns, surgery scheduling gaps, and supply issues to the correct team member on the same day Support payroll administration by helping track time records, attendance, and related documentation Order office and clinical supplies, monitor inventory, and keep work areas organized Maintain files, schedules, and records for providers Help maintain front desk systems, forms, checklists, and standard workflows Maintain patient confidentiality and follow HIPAA requirements Support a clean, safe, and professional clinic environment Support growth and workflow improvement across the practice Required qualifications Experience working in a medical office, clinic, or healthcare setting Strong front desk, scheduling, and patient communication skills Comfortable speaking with patients by phone and in person Strong attention to detail and follow-through Able to manage competing priorities in a busy clinic environment Reliable, punctual, and professional Comfortable using EMR systems, scheduling tools, email, phones, and basic office software Able to handle confidential patient information appropriately Team-oriented, flexible, and willing to help where needed Comfortable working with both in-office and remote team members Willing to follow clinic policies, including confidentiality, safety, attendance, dress code, and patient care standards Preferred qualifications The following experience is helpful, but not required for every applicant: Bilingual English and Spanish Experience in orthopedics, sports medicine, surgery, pain management, or a specialty clinic Experience with surgery scheduling or procedure coordination Experience with insurance verification, authorizations, referrals, and medical records Experience collecting payments and supporting billing workflows Medical Assistant experience or certification Experience with payroll support, time tracking, or staff scheduling Experience ordering supplies or managing office inventory Familiarity with MRI reports, outside imaging, referrals, and specialist care coordination Experience in a growing or process-improvement-focused practice Schedule Monday to Friday No weekends Typical front desk coverage is 8:00 am to 5:00 pm One-hour unpaid lunch period Paid rest breaks provided in line with California requirements Pay $28 to $34 per hour, depending on experience. The final hourly rate will be based on relevant medical office experience, patient coordination skills, surgery scheduling experience, insurance knowledge, bilingual English/Spanish skills, and ability to support daily clinic operations.
