At the heart of our mission is the unwavering belief that everyone, regardless of their circumstances, deserves access to quality healthcare. We operate several healthcare sites in Costa Mesa, Santa Ana, Mission Viejo, Anaheim and Newport Beach. Our Bilingual Medical Records department is essential in helping to ensure our patients are getting the best level of care by having complete medical records on file. We have 1 opening for a full time Bilingual Medical Records Coordinator. Starting pay within this range will vary depending on the job-related knowledge, skills, and experience. Range starts at $22.75 per hour. This is based on our healthcare minimum wage increasing to $22/hour effective 6/30/2026. The position will train on site for initial 90 days and then transition to work from home if successful in completing training and introductory period.
JOB SUMMARY
Working in conjunction with the medical clinic staff, this position compiles, processes and maintains medical records in accordance with medical, administrative, legal and regulatory standards of the current health care system. Responds to requests for records from authorized parties and secures patient releases or checks that appropriate releases are on file. Sends records via appropriate method to off-site clinicians or other medical sites. Maintains documentation of all transactions. Works with patients as needed to provide excellent customer service and timely responses. The Medical Records Coordinator works in the team-based model of care.
RESPONSIBILITIES
Manages the care of patients in collaboration with other health professionals and members of the health care team in order to make decisions about treatment and attain health goals. Answers incoming calls and processes requests for records from internal or external sources. Protects the security of medical records to ensure that confidentiality is maintained. Processes patient hospital discharge documents. Reviews incoming/outgoing records for completeness, accuracy and compliance with regulations. Compiles and organizes patient information in such a way as to provide data for research or cost analysis and quality improvement efforts. Releases information to persons and agencies according to HIPAA regulations including the processing of subpoena and court-related requests. Processes and prepares related business and government forms. Works in conjunction with the Referrals department to analyze and subsequently obtain outstanding medical records. Performs weekly analysis of the number of outstanding medical records. When obtained, scans and then indexes records to the appropriate patient record. Stays abreast of any new changes to HIPAA laws and adjusts practice accordingly, informing supervisor in the process. Reports incidents and issues to supervisor or manager immediately. Adapts to changes or unusual circumstances to promote cooperation and minimize disruption to working environment. Completes all administrative duties and other duties as assigned by supervisor. Attends training sessions as needed. Attends and contributes to department, team, and other clinic meetings Works overtime if requested and authorized. EDUCATION and / or
EXPERIENCE
Education - High school diploma or GED Has a minimum of 2 years of medical records experience, including working with public, doctor requests and subpoenas. Has previous experience working with Electronic Health Records system (EHR) Knowledge of medical terminology, medical codes and vocabulary Ability to communicate effectively both orally and in writing Bilingual in English and Spanish is required Works successfully and respectfully with patients of diverse backgrounds and cultures; to include mentally ill, well and recovery patients and those experiencing homelessness. Knowledge of the Patient Centered Medical Home model of care is preferred Ability to establish work priorities to meet established deadlines Must be detail oriented Must be well versed in HIPAA laws with regard to medical records.
