This role is designed for someone with a clinical background as a Medical Assistant or Licensed Vocational Nurse who can help create a seamless, supportive patient experience from the first phone call through treatment day and follow-up. The right person will be comfortable balancing patient communication, intake coordination, treatment preparation, administrative systems, clinical support, and concierge-style care while helping keep the practice organized and running smoothly.

This is a hybrid 1099 independent contractor position with a combination of remote administrative support, occasional in-clinic support at our San Marcos location, and opportunities to assist with travel-based concierge clinics when needed. Position Overview The Naturopathic Patient Care Coordinator will work closely with the provider and clinic team to support patient communication, scheduling, intake coordination, treatment preparation, documentation, inventory, billing support, and overall clinic flow. This is a flexible hybrid role. Much of the administrative and patient coordination work may be completed remotely, while some responsibilities may require in-person support at the clinic in San Marcos, CA. OWNM also provides concierge clinics, which may create opportunities for travel-based support in other locations around the United States. This is not primarily a travel-based position, but ability and willingness to travel when needed is required. Concierge clinic support may vary by assignment. Some opportunities may be local day trips, such as travel to the Los Angeles area, while others may involve a few days of support or, occasionally, up to two weeks for out-of-state concierge clinics. Locations and trip lengths may vary. Travel-related pay will be adjusted accordingly and may include a concierge rate based on the specific assignment, scope of responsibilities, and clinic needs. During concierge clinics, responsibilities may include patient communication, appointment coordination, treatment preparation, on-site clinic flow, hands-on patient support, administrative assistance, supply organization, intake paperwork, payment coordination, and follow-up communication. This role does not follow a traditional fixed weekly schedule. Work hours may vary based on clinic volume, provider availability, patient needs, in-clinic needs, and concierge clinic needs. The ideal candidate should be comfortable with a flexible hybrid work structure, variable hours, changing priorities, occasional in-person clinic support, and periods of increased availability surrounding treatment weeks. Advance notice will be provided whenever possible for in-clinic needs, concierge clinics, travel opportunities, and major schedule changes. This is a hands-on and coordination-heavy role that requires strong communication skills, excellent organization, professionalism, adaptability, and the ability to manage multiple priorities without losing attention to detail. What This Role Offers Meaningful, patient-centered work in a personalized naturopathic and regenerative wellness setting Exposure to integrative, functional, and regenerative medicine Opportunity to travel for special clinic weeks and concierge treatment events Varied responsibilities across patient coordination, clinic operations, administrative support, and treatment preparation Opportunity to play an important role in a growing practice Direct collaboration with the provider and clinic team Flexible, non-traditional work structure based on clinic needs and travel schedule Valuable experience for someone interested in healthcare, wellness, naturopathic medicine, or clinic operations ~ Key Responsibilities ~ Patient Communication & Coordination Serve as a friendly and professional point of contact for patients by phone, text, and email Respond to patient questions within scope and route clinical questions to the provider as needed Assist with scheduling consultations, treatments, follow-ups, and special clinic days Send appointment reminders, intake forms, treatment preparation instructions, and follow-up messages Help patients understand next steps, payment timelines, paperwork requirements, and general clinic flow Maintain a polished, calm, and supportive tone in all patient communication Administrative & Office Support Manage patient files, forms, consent documents, intake packets, and treatment-related paperwork Maintain accurate records within the electronic medical record system Assist with invoices, payment coordination, deposits, and billing-related questions as needed Organize clinic calendars, task lists, patient trackers, and internal spreadsheets Support the development and maintenance of clinic templates, workflows, SOPs, and email scripts Keep the office and treatment areas organized, stocked, and prepared for patient care days Clinical & Treatment Support Room patients and assist with patient intake Take and record vitals, including blood pressure, pulse, temperature, oxygen saturation, and other relevant measurements Prepare treatment rooms, supplies, equipment, and patient materials Assist the provider during treatments and procedures within scope of training Support IV, injection, regenerative, laser, or wellness-based treatment days as appropriate and within scope Follow infection control, safety, and documentation protocols Monitor patients during treatment and promptly communicate concerns to the provider Treatment Preparation & Clinic Operations Prepare patient charts and paperwork before appointments Review intake forms for completion and flag missing information Help prepare treatment instructions, post-care guidelines, consent forms, and patient handouts Coordinate supplies, lab kits, supplements, equipment, and treatment materials Track outstanding patient tasks, incomplete paperwork, payment status, and follow-up needs Assist with special clinic days, concierge services, travel clinics, or group treatment events as needed Help improve clinic systems, patient flow, and internal organization Support educational or marketing projects when needed, such as flyers, handouts, email updates, or event materials Ideal Candidate The ideal candidate is warm with patients, highly reliable, and comfortable wearing multiple hats. This position requires someone who can move between patient care, administrative coordination, treatment preparation, travel support, and clinic operations without becoming overwhelmed. We are looking for someone who is: Compassionate, professional, and patient-centered Extremely organized and detail-oriented A strong written and verbal communicator Comfortable managing multiple tasks and shifting priorities Adaptable in a fast-paced, sometimes unpredictable environment Able to work independently while still taking direction well Calm under pressure and thoughtful when problem-solving Comfortable working in a smaller clinic environment where everyone helps where needed Reliable, responsive, and able to follow through without constant reminders Respectful of patient confidentiality and sensitive health information Interested in integrative, naturopathic, regenerative, or functional medicine Comfortable with traveling and variable scheduling Team-oriented and able to contribute to a cohesive, supportive, and enjoyable work environment Required Qualifications Medical Assistant certification, training, or equivalent clinical experience Experience working in a medical office, wellness clinic, or patient care setting Comfortable taking vitals and assisting with basic clinical duties Strong computer skills and ability to learn new systems quickly Excellent written and verbal communication skills Professional phone, text, and email etiquette Ability to maintain patient confidentiality and follow HIPAA standards Strong attention to detail and follow-through Willingness and ability to travel for clinic weeks when needed Preferred Qualifications LVN license or additional clinical training Experience with phlebotomy and assisting with blood processing Experience with patient scheduling, billing, invoicing, or payment coordination Comfortable using Google Workspace, including Gmail, Google Docs, Google Sheets, and Google Drive Experience creating or using spreadsheets, trackers, templates, or SOPs Experience with Jane App or another electronic medical record system Experience in integrative medicine, naturopathic medicine, functional medicine, regenerative medicine, IV therapy, or aesthetics/wellness Interest in patient education, clinic operations, and process improvement Schedule This role may include a combination of remote administrative work, patient communication, virtual coordination, occasional in-person support at the San Marcos clinic, and occasional travel for concierge clinic support. Travel is not the primary basis of this position, but travel opportunities may arise due to the concierge nature of the practice. Travel may include local day trips, short multi-day assignments, or occasional longer out-of-state clinic weeks lasting up to approximately two weeks. Ability and willingness to travel when needed is required. Lodging and transportation during approved travel assignments will be provided by the organization, and travel-related pay may be adjusted accordingly based on the assignment and concierge rate. Flexibility is required for remote work, in-clinic support, concierge clinics, occasional extended hours, virtual support needs, and periods of increased availability surrounding specialty treatment weeks. Compensation Pay is based on experience, skill set, credentials, and scope of responsibilities.
