This role is essential in ensuring a seamless, efficient, and compassionate experience for all patients. Position Overview This individual will manage incoming patient communications, coordinate new patient intake, and support scheduling and administrative workflows. The ideal candidate is an excellent communicator, highly organized, and comfortable working in a fast-paced specialty medical practice. Schedule 4 days per week in-office 1 day on call per week Standard clinic hours (to be confirmed based on operational needs) Key Responsibilities Serve as the first point of contact for patient phone calls, messages, and inquiries Schedule and coordinate new patient appointments accurately and efficiently Collect, review, and organize new patient intake information Provide clear, professional, and empathetic communication with patients Ensure timely follow-up and completion of patient-related tasks Support front office and clinical workflow through effective scheduling practices Maintain accurate communication logs and patient documentation Collaborate with clinical staff to streamline patient onboarding and care coordination Assist with prior authorization processes as needed Help optimize patient flow and scheduling efficiency Qualifications Strong communication and interpersonal skills with a patient-centered approach Excellent organizational skills and ability to manage multiple priorities Experience in medical scheduling, front office coordination, or patient services preferred Prior authorization experience strongly preferred (and may command higher compensation) Experience with eClinicalWorks (eCW) strongly preferred Familiarity with Healow preferred Ability to work independently while contributing effectively to a team Detail-oriented with strong follow-through and reliability Comfortable working in a high-volume specialty practice environment Preferred Experience Background in pain management, orthopedics, spine, or specialty medical practice Experience with EMR systems, especially eClinicalWorks, and patient engagement tools such as Healow Compensation & Benefits Competitive hourly pay based on experience Starting at a competitive market rate, with higher compensation available for candidates with prior authorization experience or advanced skillsets Bonus eligible position based on performance and practice metrics One remote workday per week for eligible duties Opportunity for long-term growth within a dynamic specialty practice We are seeking a team member who brings professionalism, strong communication skills, and attention to detail, and who can help ensure every patient has a smooth experience from first contact through ongoing care.
