Job Description

Patient Care Coordinator (Part-Time → Possible Full-Time Growth Opportunity) We are looking for a kind, organized, and confident communicator to help patients navigate the process of receiving and using a prescribed medical device. You will spend much of your day on the phone, helping patients feel informed, supported, and comfortable as they move through each step of treatment. This role sits at the center of the patient experience. You will serve as the primary point of contact for patients, helping them understand their treatment, navigate insurance approvals, and confidently move forward with care. This is not a high-pressure sales position. It is a consultative, patient-first role focused on education, trust, problem-solving, and follow-through. We are seeking someone interested in a long-term opportunity. What You'll Do Speak directly with patients by phone to guide them through the process from prescription to treatment Explain how the device works and what to expect in a clear, reassuring manner Help patients understand insurance requirements, prior authorizations, coverage, and cost-related questions Coordinate and submit documentation required for insurance approval Follow up consistently to ensure patients stay on track and feel supported throughout treatment Schedule appointments and onboarding sessions for patient education Work closely with physician offices, patients, and the sales team to ensure a seamless experience Maintain accurate records and track all activity in Excel and Salesforce Assist hesitant patients by answering questions, addressing concerns, and helping them feel confident moving forward with treatment This position involves a high volume of daily patient phone calls and requires someone who is comfortable spending a significant portion of their day communicating with patients, clinics, and insurance representatives. What Success Looks Like Patients feel informed, supported, and never pressured Insurance approvals are completed efficiently and accurately Patients follow through with treatment and understand how to use their device Communication with patients, clinics, and internal team members is professional and responsive Tasks are completed accurately and on time with minimal supervision Who You Are Naturally calm, patient, and reassuring in conversation Able to build trust quickly and communicate with empathy Comfortable guiding people through decisions without being pushy Highly organized and capable of managing multiple patients and priorities simultaneously Comfortable discussing insurance, costs, and patient concerns Highly self-directed and accountable Able to manage priorities, follow through on commitments, and maintain productivity while working independently Strong communicator with excellent phone presence and follow-up skills Someone who enjoys helping people and takes pride in seeing things through from start to finish You are someone who can meet patients where they are—whether they are overwhelmed, recovering from surgery, frustrated by insurance requirements, or uncertain about next steps—and help them move forward with confidence. Qualifications Bachelor's degree or equivalent experience preferred Background in healthcare, medical assisting, patient coordination, medical administration, insurance, or customer service strongly preferred Experience with prior authorizations, insurance verification, or healthcare workflows is highly valued Ability to understand and discuss medical terminology, surgical procedures, clinical documentation, and insurance requirements Proficiency in Microsoft Office and Adobe Acrobat required Experience with Salesforce or CRM systems preferred Nurses, medical assistants, surgical schedulers, medical scribes, patient coordinators, and healthcare professionals with patient-facing experience are encouraged to apply Position Details Part-time position (approximately 20 hours per week) Daytime business hours required; some scheduling flexibility available 1099 independent contractor position (no benefits) Initial training conducted in person in Plymouth, Minnesota Opportunity for expanded responsibilities and growth Must have reliable internet service and a professional, distraction-free home office environment Because this role involves frequent patient communication and protected health information, candidates must be able to work in a private setting with minimal interruptions during scheduled work hours Final Note This role is ideal for someone who takes pride in doing things the right way, not simply the fastest way.
