Founded by two anesthesiologists, we deliver ketamine-assisted therapy, stellate ganglion blocks, and integrative wellness grounded in compassionate care and evidence-based medicine. We are not a typical clinic. Every detail of the patient experience has been intentional, from lighting to music to the way we follow up after treatment. We are building something new in Atlanta, and this role is at the heart of it. The Role This is our first hire. As the Patient Care Coordinator, you are the first voice patients hear, the first face they see, and the person who ensures their journey through Shoka feels seamless and supported. You will manage scheduling, intake forms, patient communications, and appointment flow — but more than that, you will be a calm, warm presence for people who are often navigating difficult moments in their lives. You will work closely with our physician team, help shape our systems from the ground up, and have real ownership over the patient experience. It is essential that the right candidate approaches patients with care before they ever walk through our doors, and carries that through to follow-up after treatment. This role is as much about culture as it is coordination. The first 60-90 days are paid and setup-focused: getting the clinic ready, building out patient workflows, and reaching out to prospective patients ahead of launch. Some of this work can be done remotely. As we open our doors, you will gradually transition into the full patient-facing role. As we grow, so will this role. What You'll Do Serve as the primary point of contact for all patient inquiries via phone, email, and our portal — with warmth, clarity, and professionalism Manage scheduling, appointment coordination, and calendar flow for all clinical services Ensure patients complete intake paperwork, consents, and pre-treatment questionnaires accurately and on time Guide new patients through the onboarding process and prepare them for what to expect Actively contribute to the design and refinement of our patient experience helping Shoka feel unlike any clinic they've visited before Help plan and execute community events, educational workshops, and outreach initiatives Maintain and organize patient records within our EMR system Coordinate with clinical staff to ensure smooth day-of operations Handle billing inquiries for cash-pay, FSA, and HSA patients Support our social media presence and contribute to marketing initiatives During pre-launch: assist with clinic setup, patient outreach, and building our operational foundation Required Experience in a healthcare, clinical, or patient-facing setting Exceptional communication skills — warm, clear, and professional in every interaction Comfortable with Google Workspace, Microsoft Office, and AI tools Highly organized with strong attention to detail Positive, upbeat energy: the kind that puts people at ease immediately Preferred Background in psychology, psychiatry, counseling, or behavioral health Familiarity with mental health, ketamine-assisted therapy, or related fields — qualified candidates may have a genuine interest in psychedelic medicine and the evolving landscape of interventional psychiatry Experience with social media, content creation, or digital marketing Familiarity with EMR platforms Interest in being part of something early-stage and growing with it How We Invest in You We are building this practice with the people in it, not just the patients who come through our doors. We care far more about who you are than what you already know. If you lead with empathy, genuinely connect with people in their most vulnerable moments, and approach this work with curiosity — we will make sure you have everything else. That means hands-on training, paid certification in ketamine-informed care, and exposure to a field that most people in healthcare never get to touch. This is our first hire. We are not handing you a manual and wishing you luck. We are building this together, and that means we are as invested in your growth as you are in ours. As the clinic expands, so will your responsibilities, your expertise, and your place within the team.
