I started this practice to help women truly understand their hormones and feel better—not just be told their labs are "normal." What began as a solo practice is growing quickly, and I'm looking for the right person to grow with me. This is not just an admin role. I'm looking for someone who can truly become my right hand —someone who helps keep everything running smoothly, thinks ahead, and takes a real sense of ownership in the work.
What You'll Be Doing:
Patient Communication Answer phones and respond to patient questions with warmth and professionalism Help guide patients through scheduling, next steps, and program flow Follow up with patients who have not yet moved forward Operations & Flow Help manage daily patient flow and scheduling Keep things organized and running smoothly behind the scenes Anticipate needs and solve problems before they arise Inventory & Ordering Order supplements, specialty lab kits, and supplies Keep inventory organized and stocked Systems & Growth Support Help improve workflows and systems over time Assist with CRM updates and tracking patient progress Identify inefficiencies and suggest better ways of doing things
What I'm Looking For:
Experience in a medical office, functional medicine, or cash-based practice preferred Strong phone and communication skills Highly organized and detail-oriented Comfortable managing multiple moving pieces Tech-comfortable (EMRs, CRMs, scheduling systems) But more importantly… I'm looking for someone who: Takes initiative without being asked Naturally thinks one step ahead Wants to be part of growing a small business Brings both experience and an ownership mindset Responsibilities Greet patients warmly, verify appointments, and assist with check-in procedures to create a positive first impression Manage patient scheduling, appointment confirmations, and follow-up communications to ensure smooth clinic flow Support medical staff by handling administrative tasks such as charting, data entry, and maintaining accurate patient records Assist with insurance verification, billing processes, and payment collections to facilitate efficient financial workflows Maintain a clean, organized front desk and treatment areas, ensuring all supplies are stocked and equipment is functional Coordinate communication between patients and practitioners regarding treatment plans or questions about services Support clinic operations by managing phone inquiries, scheduling changes, and general administrative support Qualifications Prior experience in a medical office setting or healthcare environment preferred Familiarity with medical terminology and basic understanding of healthcare workflows Strong office experience with proficiency in scheduling software and electronic health records (EHR) systems Excellent communication skills—friendly, clear, and professional in all interactions Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail Experience in dental or other healthcare offices is a plus but not required Motivated to grow within the practice by taking on new responsibilities and learning about integrative medicine This role is ideal for someone eager to make a meaningful impact on patient care while gaining valuable operational experience.
