We are seeking a Patient Coordinator — a dynamic individual with a medical assistant background who thrives in patient care, hospitality, and experience management.
This is a hybrid role:
part clinical support, part patient journey coordinator, and part wellness concierge. Your Role As a Patient Coordinator , you are the patient's guide through their healing journey. You'll assist providers with clinical tasks, prepare and support patients during treatments, and ensure every person who walks through our doors feels welcome, cared for, and guided toward better health. You'll also play a key role in patient retention and growth , introducing wellness "elevations" that enhance results and keep patients engaged in their care. Responsibilities Clinical & Treatment Support Room patients, clean and prepare treatment rooms before each visit. Take vitals, posture pictures, and support with examinations. Prepare patients for therapies such as light therapy and kinesiology taping. Assist providers with clinical needs and accurate documentation in the EHR. Patient Experience & Journey Management Welcome patients warmly and guide them through each step of their visit. Manage care checkpoints (progress evaluations, care plan reviews, milestones). Provide education and reinforce provider recommendations to improve compliance. Ensure a seamless, positive patient flow throughout the wellness center. Retention, Sales & Growth Execute on patient treatment plans & memberships Confidently offer and explain elevations to their care(additional therapies, supplements, or services that enhance results). Encourage re-bookings, follow-ups, and care plan adherence to optimize healing. Monitor patient satisfaction, address concerns, and ensure a five-star experience. Technology & Administration Use EHR (jane app), scheduling, and communication platforms with accuracy and efficiency. Google Docs Proficiency Capture posture images, progress data, and treatment notes digitally. Assist with patient communication, including reminders, follow-ups, and reactivations. Front Desk Duties Check in & out patients at the front desk Review memberships & upgrades Schedule out their treatments Answer phones / text / emails / social media messages Qualifications Medical Assistant certification or equivalent experience required. Strong interpersonal skills — warm, professional, and empathetic. Sales confidence — comfortable guiding patients toward services that benefit them. Highly computer savvy — able to learn new systems quickly. Organized, detail-oriented, and able to manage multiple tasks in a fast-paced environment.
