We deliver a whole-body, stress-informed approach to pelvic floor care. We are hiring Patient Referral Coordinator to connect with prospective patients and provider partners and help grow the practice. The role will convert inquiries into appointments, nurture referral relationships, and track the data. What you'll do Answer and convert inbound lead calls, texts, and emails: guide prospective patients from curiosity into a booked evaluation and care plan. Manage follow-ups and warm lead pipeline. Build and maintain relationships with referral partners (OB-GYNs, midwives, urologists, GI, doulas, pelvic health providers).
Execute outreach:
emails, phone check-ins, drop-ins, and provider education materials.
Track and report KPIs weekly/monthly:
lead volume, source, conversion rate, call response time, lost lead reasons, outreach activity. Recommend data-driven improvements to the intake and outreach process. Represent the clinic with professionalism and confidentiality. Who you are A warm, clear communicator with excellent phone presence and written skills. Comfortable discussing intimate health topics professionally and compassionately. Detail-oriented and organized you love tracking numbers and following systems. Confident handling objections (cost, insurance, timing) while protecting clinic policies. A proactive relationship-builder who can network with providers and community partners. Required experience & skills Fluent English (spoken and written). Comfortable using EMR/CRM systems (HubSpot, Jane, SimplePractice, Athena, or similar). Strong Google Workspace and spreadsheet competency. Proven ability to meet conversion targets or measurable KPIs. Nice to have 1+ years in sales, front-desk/intake, healthcare/medical sales, admissions, or comparable lead-conversion role. (Experience in PT, OB-GYN, fertility, medspa/aesthetics, or concierge medicine is a strong plus.) Prior provider outreach or business development experience. Experience tracking/reporting KPIs and running simple analyses. Background in trauma-informed or sensitive health communication. Hours & Structure Full-time, onsite in San Jose transitioning into hybrid/work from home. Some local outreach visits are required (provider visits, community events).
Typical schedule:
standard weekday hours; occasional evening outreach or events when needed.
Compensation & Perks Base:
$58,000$75,000/year (depending on experience) + bonuses Performance bonuses tied to conversion rate, outreach outcomes, and quarterly KPIs.
