Patient Services Coordinator About AcuBoston AcuBoston is an acupuncture, herbal medicine, and wellness practice with three clinic locations in Brookline and Dedham. We provide high-quality, holistic care made accessible through many insurance-based services and sliding-scale community acupuncture. Our team includes seven acupuncturists, including the owner/founder, one registered dietitian, and one practice manager. As a small, collaborative practice, we value kindness, professionalism, initiative, and open communication. Position Overview The Patient Services Coordinator serves as one of the primary points of contact for patients and plays a key role in ensuring our clinics run smoothly. They create a welcoming, responsive, and professional experience for every patient interaction while supporting administrative and operational functions across our practice. The ideal candidate is warm, organized, proactive, and comfortable balancing multiple priorities for time-sensitive matters. They enjoy helping people, communicating clearly, solving problems independently, and contributing to a positive team culture. Experience in healthcare administration, hospitality, wellness, or customer service is highly valued. Responsibilities Patient Experience & Scheduling Respond to calls, texts, emails, and patient inquiries Schedule appointments for new and existing patients across providers and locations Maintain accurate patient information (Jane practice management software) Communicate insurance coverage details and appointment information to patients Follow up on forms, scheduling needs, patient questions, and clinic communications Insurance & Billing Support Submit new and existing patient insurance information into portal; communicate with billing team as needed Update benefits and coverage details in EHR (copays, coinsurance, and patient responsibility records) Process payments, balances, refunds, and adjustments Clinic Operations Support Welcome and assist patients in clinic Maintain clinic inventory Change treatment room linens in between patients and support light clinic upkeep and organization Support marketing, events, and small errands, including trips between clinic locations Communicate with providers and administrative staff Required Strong customer service and communication skills Excellent organizational skills and attention to detail Ability to manage multiple priorities and solve problems independently Comfort using scheduling software, email, and basic office technology Professional, dependable, and able to work both independently and as part of a team Preferred Experience in healthcare administration, medical offices, hospitality, concierge services, wellness, or other customer-facing environments Experience with insurance verification or healthcare scheduling Familiarity with Jane practice management software Interest in acupuncture, wellness, or holistic healthcare Access to a vehicle and willingness to travel between Brookline and Dedham locations as needed Schedule & Location Full-time, up to 40 hours per week Hybrid schedule with a combination of in-clinic and remote work Approximately 1-2 remote days per week in Brookline and Dedham after training, depending on clinic needs and staffing coverage Occasional travel between clinic locations required (those without a vehicle will be reimbursed for rideshare as needed) Physical Requirements Ability to perform light physical tasks such as laundry, stocking supplies, preparing treatment rooms, and moving clinic materials as needed Ability to stand, walk, and move throughout clinic spaces during shifts Ability to lift and carry up to 25 pounds Why Join AcuBoston? Compensation & Benefits Salary:
