Job Description

Practice Coordinator Job Overview Tree of Life Counseling is seeking a highly organized, detail-oriented Practice Coordinator to provide administrative, billing, scheduling, and client support services. This role is ideal for someone with experience in medical, behavioral health, or insurance administration who enjoys creating efficient systems, supporting clients, and helping a growing private practice operate smoothly. The Practice Coordinator will serve as the primary administrative support for the practice and will work closely with the owner to improve client experience, maintain accurate records, assist with billing and collections, and support practice growth. Duties Client Intake & Scheduling Respond to new client inquiries via phone, email, and online referrals Schedule consultations and therapy appointments Manage waitlists and fill cancelled appointments when possible Collect intake paperwork and required documentation Verify insurance information and benefits prior to appointments Maintain accurate client records within the electronic health record system Insurance & Billing Support Verify insurance eligibility and benefits Obtain and document authorization requirements when applicable Submit, track, and monitor insurance claims Communicate with insurance companies regarding claim status, denials, and payment issues Assist with claim corrections and resubmissions as needed Accounts Receivable & Collections Monitor outstanding client balances Send payment reminders and statements Contact clients regarding unpaid balances in a professional and respectful manner Assist with payment plans and account follow-up Track collections efforts and outstanding accounts Administrative Support Maintain practice organization and administrative systems Assist with referral coordination Support group therapy enrollment and registration processes Maintain spreadsheets, reports, and administrative records Identify opportunities to improve workflow efficiency Experience Required High school diploma or equivalent Excellent communication and customer service skills Strong organizational skills and attention to detail Ability to work independently with minimal supervision Proficiency with email, spreadsheets, and basic office software Preferred Experience in medical, behavioral health, counseling, or healthcare administration Experience with insurance verification and claims processing Experience with medical billing, collections, or accounts receivable Familiarity with electronic health record systems Experience working with confidential information and HIPAA compliance Knowledge of SimplePractice or similar practice management software This position has the potential to grow in responsibilities and hours over time as the practice continues to expand.
