The Dragonfly Path is a growing private group mental health practice committed to providing compassionate, high-quality care in a welcoming and supportive environment. We are seeking a highly organized, personable, and proactive Practice Coordinator to become the central point of communication for our practice. This role is ideal for someone who enjoys helping others, thrives in a fast-paced environment, and takes pride in keeping things running smoothly behind the scenes. This position works closely with the Practice Owner/Clinical Director and serves as an important connection between prospective clients, current clients, clinicians, and the administrative functions of the practice.
What You'll Do:
Client Experience Answer incoming phone calls and respond to voicemail messages with professionalism and warmth. Assist prospective clients by gathering information and matching them with the most appropriate clinician. Schedule new client intakes and coordinate appointment availability. Respond to client inquiries via phone, email, and secure messaging. Maintain a welcoming, supportive, and confidential experience for every client. Administrative Coordination Assist the Clinical Director with daily administrative tasks and special projects. Coordinate clinician schedules and assist with calendar management. Monitor referrals and maintain intake tracking. Prepare and organize practice documents and forms. Help maintain organized electronic records and workflows. Monitor client files/billing Support implementation of new procedures as the practice continues to grow. Practice Support Work collaboratively with clinicians to ensure clients receive timely follow-up. Assist with communication regarding scheduling changes when needed. Help monitor administrative workflows to improve efficiency. Support practice marketing initiatives, website updates, and community outreach projects as needed. Complete other administrative duties that contribute to the success of the practice.
