We're looking for a personable, proactive Patient Coordinator to work on-site alongside WelcomeWare to create a smooth, welcoming, and efficient patient journey. While WelcomeWare handles much of the digital intake, you'll play a key role in guiding patients, solving problems, and providing the human connection that technology can't replace. Job DescriptionBe the friendly first point of contact for new and returning patients Answer calls and messages with professionalism, empathy, and positivity Help patients schedule and prepare for their visits Guide patients through onboarding steps and required paperwork Collect and update demographic and insurance information Support eligibility and benefits verification processes as assigned Communicate clearly about appointments, referrals, and next steps Coordinate with clinic teams to ensure a smooth patient experience Document interactions accurately in our systems Protect patient privacy and maintain HIPAA compliance at all times Step in to help solve patient concerns and route urgent needs appropriately QualificationsCustomer service, patient access, call center, or medical front office experience Experience in outpatient or rehabilitation settings is a plus Familiarity with EMR or scheduling systems is helpful Bilingual skills are a bonus Additional InformationWhat Makes You a Great Fit You genuinely enjoy helping people and making them feel heard You communicate clearly and kindly — on the phone and in writing You're organized and detail-oriented You're comfortable using scheduling and computer systems You can manage multiple tasks while staying calm and professional You take pride in delivering excellent service every time Why You'll Love This Role You'll make a daily difference in people's care experience You'll be part of a supportive, mission-driven healthcare team Your voice and attitude will directly shape patient satisfaction You can work remotely while staying closely connected to clinic teams
