FT and PT Position Summary The Patient Care Coordinator (PCC) is the first point of contact for clients at VIO Med Spa and plays a key role in delivering an exceptional client experience. This position is responsible for managing appointments, assisting clients with treatment and product recommendations, supporting clinic operations, and ensuring every guest receives professional and personalized service from check-in to check-out. Key Responsibilities Client Experience Greet clients warmly and create a welcoming, luxury med spa environment. Ensure smooth and efficient client check-in and check-out processes. Answer phone calls, emails, and online inquiries in a professional and timely manner. Address client questions, concerns, or service requests with professionalism and care. Scheduling & Coordination Schedule, confirm, and manage client appointments efficiently. Maintain provider schedules to maximize productivity and minimize gaps. Coordinate follow-up appointments and treatment plans as recommended by providers. Manage appointment reminders, cancellations, and waitlists. Sales & Product Support Educate clients on available treatments, memberships, promotions, and skincare products. Support retail product sales and service upgrades. Inform clients of current promotions and special offers. Administrative Duties Maintain accurate client records and intake forms in the EMR system. Process payments, memberships, and gift card purchases. Ensure compliance with HIPAA and company policies. Assist with maintaining front desk organization and cleanliness. Team Collaboration Work closely with providers and management to ensure a smooth clinic workflow. Communicate client needs and preferences to the clinical team. Assist with clinic events, promotions, and marketing initiatives when needed. Qualifications 1-2 years of customer service, medical office, or med spa experience preferred . Strong communication and interpersonal skills. Ability to multitask in a fast-paced environment. Sales-oriented mindset with strong client relationship skills. Proficiency with scheduling software, EMR systems, and POS systems preferred.
