This vital role ensures smooth daily operations by managing administrative tasks, providing exceptional customer service, and maintaining efficient office workflows. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a welcoming environment for residents, families, and staff alike. Duties Serve as the front desk ambassador, greeting visitors and residents with professionalism and warmth Manage multi-line phone systems, directing calls accurately and courteously while providing exceptional customer support Handle data entry, filing, and record-keeping using Microsoft Office, Google Workspace, and other office management tools Coordinate calendar management for staff schedules, appointments, and community events with precision and efficiency Perform clerical duties such as proofreading documents, managing correspondence, and maintaining organized files Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record accuracy Support office management activities including supply inventory, mail distribution, and general administrative support Qualifications Proven experience in office administration or clerical roles within assisted living, healthcare, or related fields Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Exceptional phone etiquette and customer service skills to engage residents, families, and staff positively Personal assistant or office management experience that demonstrates reliability and attention to detail Join us in creating a supportive environment where residents feel valued and cared for!
