ABOUT US NWME
Aesthetics is a luxury medical aesthetics and wellness practice specializing in natural, regenerative treatments and skin of color. Founded and led by a nurse practitioner, we serve high-performing women who value confidence, professionalism, education, and results. We are not a "volume med spa." We focus on personalized treatment plans, patient relationships, and a luxury experience from the first phone call to checkout.
THE ROLE
We are looking for a warm, polished, confident Patient Experience Coordinator who understands both hospitality and sales. This is NOT a traditional receptionist position. You will help manage the patient experience from inquiry to checkout while confidently converting consultations, rebooking patients, presenting memberships, and helping the practice grow. You will be given scripts, systems, and structure — but we are looking for someone who can think critically, move with urgency, and operate independently without constant supervision.
SCHEDULE
In-Office:
Wednesday & Thursday:
10am-7pm
Friday & Saturday:
10am-5pm
Virtual/Admin Day:
Tuesday (remote follow-up, lead nurturing, KPI tracking)
WHAT YOU'LL DO
Convert inbound calls, texts, and inquiries into booked appointments using provided scripts and sales systems Execute follow-up sequences for every lead (text, email, phone) Manage patient check-in, checkout, and rebooking Present our Beauty Bank Membership and treatment plans confidently at checkout Proactively fill schedule gaps using existing patient reactivation lists Assist the provider in the treatment room with patient flow, pre/post care, photos, numbing, room turnover, etc. Send financing links and comfortably discuss pricing and payment options Track daily KPIs
WHO YOU ARE
Experienced in med spa, aesthetics, dermatology, dental, luxury hospitality, or high-end sales Comfortable discussing high-ticket services and treatment investments Warm, polished, and confident on the phone Tech-savvy and adaptable Organized with excellent time management Self-directed and productive without micromanagement Professional, aesthetically polished, and brand-aware Interested in aesthetics, wellness, beauty, or regenerative treatments Able to think critically and solve problems independently Looking for long-term growth within the company
BONUS IF YOU HAVE
Aesthetic Record EMR experience GoHighLevel experience Experience presenting financing options (CareCredit, Cherry, etc.) Medical assistant or treatment coordinator background Experience with injectables, lasers, skincare, or wellness services Bilingual (Spanish)
COMPENSATION
$18-32/hr depending on experience Monthly KPI performance bonus Commission opportunities on appointments converted through outreach Growth opportunities within the company
