Full Job Description Medical Staff Coordinator Job Summary:
Medical Staff Coordinator will be directly responsible for assisting the Medical Staff Director in coordination and management of Medical Staff activities. It has primary responsibility for Medical Staff Meeting coordination.
Medical Staff Coordinator Responsibilities:
Provides general administrative support for the Medical Staff Services Office to include, but not limited to: Performs routine clerical duties including the processing of mail, filing, photocopying, faxing, data entry, scheduling of meetings Update files, coordinate meetings, agendas and ensure accurate and timely minute taking. Facilitates the setting up of the conference room or board room for any Medical Staff Department meetings. Prepare and maintain committee, agendas, meeting minutes and related attachments to facilitate documentation of committee activities and demonstrate Medical Staff compliance with The Joint Commission standards. Notifies appropriate internal and external parties of Committees and Board actions. Prepares correspondence for the Department Chiefs/Medical Directors related to issues. Prepares and distributes a monthly meeting calendar, meeting invitations and meeting agendas. Attends assigned meetings, assumes responsibilities of recording and transcribing accurate minutes within; obtains approval of the minutes and files minutes accordingly. Prepares and provides summaries of Medical Staff committee/departmental meetings for the monthly assigned committees and ensures information is presented up to the Medical Executive Committee and Board of Directors. Maintains open communication with the Director of Medical Staff, Medical Staff, Medical Staff Offices and Physician Offices. Processes Voucher Check Requests (VCR's) and maintains an accurate log of all requests. Maintains supplies and inventory for the Medical Staff Department. Coordinates the onboarding of new medical staff and advanced practice providers to include appropriate Hospital access and passwords, department notification and introduction to key hospital teams. Responsible for ensuring practitioner expirable report is audited monthly and notifies practitioners of deficiencies and ensures they are up to date and accurate. Processes non-privileged providers and enters into two computer systems. Coordinates for Director, calendars and schedules and attends monthly committee meetings assigned
Medical Staff Coordinator Knowledge & Experience:
Knowledge of hospital or managed care procedures. Proficiency in medical terminology. Computer literate (ability to learn/work many systems independently). Proficiency in use of personal computer, Windows, Microsoft Word and Cactus credentialing software. Demonstrated skill in written and verbal communication and in ability to independently prepare memoranda, letters, reports and other communications. Demonstrated professionalism, tact and sound judgment in the representation of the medical staff to internal and external personnel or agencies. Ability to independently organize and prioritize tasks. Good overall knowledge of Medical Staff Office practices, procedures and guidelines. Ability to seek out new methods and principles to improve services. Strong customer service orientation. Bilingual English/Spanish-preferred. Basic knowledge of Roberts Rules of Order.
Pay & Schedule:
