Surgery Administrator Texas Humane Heroes - 3.4 Leander, TX Job Details Part-time $20 an hour 12 hours ago Benefits Employee discount Qualifications Teamwork Administrative experience Attention to detail Organizational skills Time management Full Job Description Position Summary The Assistant Surgery Administrator supports the daily operations of the surgery department by coordinating appointments, maintaining medical records, assisting with client communications, managing patient flow, and ensuring efficient administrative support for the veterinary team. This position requires strong organizational skills, attention to detail, excellent customer service, and the ability to thrive in a fast-paced veterinary environment. Essential Duties and ResponsibilitiesSurgery Administration & Patient Flow Coordinate and manage daily surgery appointments for public clients and rescue organizations. Prepare patient bags with patient names, species, and clinic location information. Manage patient flow throughout the day and assist with surgical discharges. Verify applicable technician fees, medications, and services prior to patient discharge. Coordinate with veterinarians and veterinary technicians regarding services, medications, diagnostics, and treatments needed for scheduled appointments. Hold patients for veterinarian exams and rechecks and communicate veterinarian recommendations to clients. Monitor internal communications and ensure services, medications, notes, and treatment updates are accurately documented. Client Service & Communication Serve as a primary point of contact for clients and rescue partners regarding appointments, procedures, medications, and post-operative care. Educate clients on surgery preparation, medication administration, recovery expectations, and post-operative instructions. Answer clinic phone calls and respond to client inquiries professionally and compassionately. Manage appointment requests, confirmations, reschedules, cancellations, no-shows, and follow-up appointments. Monitor paid medication pickups and 14-Day Promise appointments. Medical Records & Administrative Support Maintain accurate patient and client records in Clinic HQ, Shelterluv, and other software systems. Merge duplicate client and patient accounts when necessary. Enter services, medications, treatment notes, and medical records accurately and promptly. Print medication labels, consent forms, post-operative instructions, and other client documents as needed. Assist with closing out surgical appointments and ensuring records are completed and accurate. Inventory, Medication & Office Support Assist with filling approved take-home medications, including pain medications, antibiotics, and other prescribed treatments. Monitor inventory levels of preventatives, medications, rabies tags, clinic cards, patient bags, and administrative supplies. Restock workstations and maintain organized supply areas. Print and prepare post-operative instruction sheets and client educational materials as needed. Maintain a clean, organized, and professional work environment, including the surgery administration desk and medication storage areas. Team Collaboration & Compliance Work collaboratively with veterinarians, veterinary technicians, surgery staff, and front desk personnel to ensure efficient clinic operations. Assist in training staff on surgery administration procedures and protocols. Ensure compliance with organizational policies, OSHA standards, veterinary sanitation protocols, infection control procedures, and record-keeping requirements. Participate in staff meetings and contribute to continuous improvement of clinic operations and customer service. Qualifications Minimum two (2) years of veterinary administrative, veterinary reception, or related veterinary support experience preferred. Strong organizational, multitasking, and time-management skills. Excellent written and verbal communication skills. Experience with veterinary practice management and/or shelter software systems preferred. Knowledge of veterinary terminology and surgical procedures preferred. Bilingual (English/Spanish) preferred. Commitment to exceptional customer service and animal welfare. Physical Requirements & Working Conditions Ability to sit, stand, walk, bend, and lift up to 40 pounds. Ability to work in a fast-paced veterinary clinic environment. Exposure to animals, animal dander, cleaning chemicals, and biohazard materials. Ability to remain professional, flexible, and composed in a high-volume setting.
