Clinic Manager San Antonio, TX 78213 Full-time Full-time The Clinic Manager serves as the operational backbone of STMHA, an entity of Turnwell Mental Health Network, ensuring that day-to-day functions run efficiently, compliantly, and in alignment with the organization's mission to deliver exceptional mental health care. This role is responsible for managing the clinic's administrative and operational activities, supporting clinical staff, and fostering a patient-centered environment across all service lines — including general psychiatric care, therapy, TMS, Spravato®, IV Ketamine, and Intensive Outpatient Programming (IOP). The Clinic Manager is the primary point of accountability for clinic performance and serves as a key liaison between frontline staff, clinical leadership, and the broader management team. When needed, this individual may be called upon to provide operational support to other Turnwell clinics within the local market. Key Responsibilities Clinic Operations Oversee all daily clinic operations, ensuring seamless patient flow, scheduling efficiency, and high-quality patient experience. Maintain clinic readiness for all service lines, including TMS, Spravato®, IV Ketamine, and IOP programming. Ensure the physical clinic environment meets safety, cleanliness, and regulatory standards at all times. Monitor and manage clinic supply inventory, vendor relationships, and equipment maintenance schedules. Implement and uphold operational policies, procedures, and compliance standards in accordance with state and federal regulations, including HIPAA. Manage scheduling of new and existing patients per intake requests and provider recommendations for follow-up appointments. Staff Management & Leadership Recruit, onboard, train, and supervise non-clinical administrative and support staff. Provide day-to-day guidance and performance coaching to clinic staff; conduct regular performance reviews in partnership with HR. Build and maintain staff schedules to ensure adequate clinic coverage across all service lines and hours of operation. Foster a positive, mission-driven team culture that prioritizes patient safety, staff wellbeing, and continuous improvement. Escalate staffing or conduct concerns promptly to the Practice Manager and/or Physician Partners. Patient Experience & Care Coordination Serve as an escalation point for patient concerns, complaints, and service recovery situations. Partner with clinical staff to ensure coordinated, efficient patient care journeys across all modalities. Monitor patient satisfaction metrics and implement improvement initiatives as needed. Support prior authorization processes, patient intake workflows, and care coordination activities in collaboration with clinical and billing teams. Financial & Administrative Oversight Monitor clinic-level financial performance metrics including patient volume, revenue cycle KPIs, and expense management. Partner with the Practice Manager to manage the clinic budget, identify cost efficiencies, and report on operational variances. Ensure accurate and timely completion of administrative documentation, including incident reports, compliance logs, and staff records. Support the billing team by ensuring accurate charge capture, proper documentation workflows, and timely submission of required information. Compliance & Quality Ensure all clinic activities remain compliant with applicable federal, state, and local healthcare regulations. Maintain up-to-date knowledge of regulatory requirements relevant to specialty services (TMS, Spravato®, IV Ketamine, IOP). Participate in audits, accreditation processes, and quality improvement initiatives as directed by leadership. Support the development, documentation, and training of standard operating procedures (SOPs). Collaboration & Communication Serve as the primary operational liaison between clinic staff, Physician Partners, and the Practice Manager. Attend and contribute to weekly regional meetings, operational reviews, and cross-clinic initiatives. Communicate proactively with leadership regarding operational challenges, staffing issues, or patient safety concerns. Provide operational support to other local Turnwell clinics as needed and directed by leadership. Qualifications Required Bachelor's degree in Healthcare Administration, Business Administration, or a related field; OR equivalent combination of education and experience. Minimum 3-5 years of progressive experience in healthcare operations or clinic management. Demonstrated ability to lead, develop, and manage a team in a fast-paced clinical environment. Working knowledge of HIPAA, healthcare compliance requirements, and patient privacy regulations. Proficiency with electronic health record (EHR) systems and standard office productivity tools. Strong organizational, problem-solving, and communication skills. Ability to manage competing priorities and adapt to evolving operational needs. Preferred Experience in a behavioral health, psychiatry, or mental health clinic setting. Familiarity with specialty treatment modalities such as TMS, Spravato®, IV Ketamine, or IOP. Experience with prior authorization and revenue cycle management processes. Master's degree in Healthcare Administration (MHA) or Business Administration (MBA). The Clinic Manager must be able to sit or stand for extended periods, navigate the clinic environment, and occasionally lift or move items up to 25 lbs. Some local travel between Turnwell clinic sites may be required. Standard clinic hours apply, with occasional flexibility needed to support operational demands.
