Our Patient Care Coordinator is the heart of the patient experience — the first voice our patients hear on the phone and the first face they see when they walk through our door. For many of our patients, taking the step to address their hearing is a significant and sometimes anxious decision. Most of our patients are 60 and older and live with some degree of hearing loss. This role calls for warmth, patience, and the ability to communicate clearly and compassionately with older adults. We will train you, but the right candidate is naturally inclined to: Speak clearly and at a comfortable, unhurried pace — clarity matters more than volume Face the patient and maintain eye contact so they can follow along easily Be patient with repetition and rephrasing, always with a warm and unflustered manner Use written notes when helpful to make sure the patient fully understands Help keep the reception and waiting area calm and quiet, since background noise makes hearing difficult What You'll DoWelcome & Patient Experience Greet every patient warmly, by name when possible, and help them feel comfortable and cared for Offer water or coffee and make sure waiting patients are comfortable and informed about wait times Set a calm, welcoming, and professional tone throughout the office Scheduling & Front Office Answer phones promptly and warmly; take clear, concise messages Schedule appointments and make confirmation and reminder calls to keep our calendar full and reduce no-shows Manage the front desk and assist walk-in patients Help patients complete intake paperwork and forms, offering a patient hand when needed Administrative & Insurance Verify insurance and hearing aid benefits ahead of appointments Collect payments and reconcile patient accounts accurately Maintain patient records and keep the office organized and orderly File documents consistently and accurately Patient Retention & Support Make follow-up calls after fittings and visits to check in on patients Conduct recall calls for annual checkups, warranty reminders, and battery or accessory needs Assist with battery and accessory sales and hearing aid repair drop-offs and pickups General Assist with local marketing and patient-outreach efforts Support other tasks as assigned by the office manager
Qualifications Required:
Prior experience in a healthcare or medical office, ideally with patient-facing responsibilities
Required:
Excellent phone manner and interpersonal skills, with a warm and professional presence

MS Word, Excel, and Outlook Preferred:
Experience with health insurance verification and claims

Familiarity with hearing care practice management software such as Sycle or Suno (training provided) Confidentiality & Compliance This role involves access to protected health information. The Patient Care Coordinator is required to maintain a strict patient confidentiality at all times and to follow HIPAA privacy practices and all applicable office policies. Physical Requirements Primarily seated work with extended computer and phone use Occasional standing, walking, and assisting patients within the office
Schedule, Compensation & Benefits Schedule:
Monday through Friday, full-time (approximately 40 hours per week). Hours 8:30am
- 5:30pm (Store hours are 9am
- 5pm CT).
On-site at our Woodlands (Spring, TX) location
