Stepping Stone Therapy is a thriving and rapidly-growing private practice that was founded on the principle that private practice can play an important role in serving the community while at the same time providing a good monetary return for clinicians and staff. Since our beginning, we've been in multiple health insurance networks to allow mental healthcare - assessments and therapy - to be available to more people who might not be able to afford to pay $200 a therapy session or $5,000 per evaluation out of pocket. From the interviews all the way through orientation, we hope to give you a feel for how welcoming and supportive our group is. Job Overview We are seeking a dynamic and highly organized Healthcare Administrator to lead the operational and administrative functions of our multi-site private practice. This vital role involves overseeing daily clinic operations, managing financial and human resources, ensuring compliance with healthcare regulations, and supporting clinicians and customer service to deliver exceptional patient care. The ideal candidate will bring a proactive approach, excellent leadership skills, and extensive experience in medical office management to foster a smooth-running, compliant, and patient-centered environment. Duties Oversee the daily operations of the healthcare facility, ensuring efficient workflow and high-quality patient services. Manage fiscal responsibilities including budgeting, financial management, billing processes, and resource allocation. Supervise medical administrative support staff and other healthcare team members to promote a collaborative and productive work environment. Maintain compliance with HIPAA regulations and ensure the confidentiality and security of all medical records and patient information. Coordinate with clinical teams to optimize clinic experience, manage utilization review processes, and support referrals to a higher level of care. Oversee medical records management, EMR (Electronic Medical Records) systems, EHR (Electronic Health Records) systems, and other digital tools to streamline documentation and reporting. Play a key role in rolling out new systems and processes and capturing the processes in a way that's accessible to employees. Lead human resources functions including hiring, training, performance evaluations, and ensuring adherence to healthcare management standards. Monitor clinic operations for quality assurance. Facilitate communication between departments to ensure smooth clinic functioning while maintaining high standards of patient safety and care quality. Experience Proven experience in medical office management or healthcare administration with a strong background in managing clinics, especially in private practice. Demonstrated supervisory experience overseeing healthcare teams including customer service and administrative personnel. Extensive knowledge of medical terminology, medical records management, and EMR/EHR systems. Familiarity with fiscal management practices including budgeting, financial reporting, billing procedures, and resource planning. Hands-on experience with mental health outpatient office, dental office or veterinary practice management is a plus but not required; relevant clinic experience is essential. Knowledge of healthcare regulations including HIPAA compliance, utilization management protocols, and managed care policies. Experience working with diverse healthcare environments such as acute care facilities or hospital settings is highly desirable.
