Job Description

Position Overview Ashburn Psychological and Psychiatric Services is seeking a compassionate, organized, and detail-oriented Patient Care Coordinator to support our growing outpatient behavioral health practice. This role serves as the primary point of contact for patients, ensuring a welcoming experience while coordinating appointments, maintaining accurate records, and supporting the daily administrative operations of the clinic. The ideal candidate is committed to providing exceptional customer service, protecting patient confidentiality, and working collaboratively with licensed mental health professionals. Key Responsibilities Welcome patients and visitors while maintaining a professional and supportive environment. Schedule, reschedule, and confirm appointments using the practice management system. Answer incoming phone calls, respond to patient inquiries, and direct messages to the appropriate clinical staff. Verify demographic and insurance information and assist with patient registration paperwork. Maintain accurate electronic medical records in compliance with HIPAA regulations. Coordinate communication between psychiatrists, psychologists, therapists, and patients regarding scheduling and follow-up care. Process referrals, obtain required authorizations when applicable, and ensure supporting documentation is complete. Collect patient payments, issue receipts, and assist with basic billing inquiries. Monitor office supplies and support general front office operations. Perform additional administrative duties as assigned to ensure efficient clinic workflow. Required Qualifications High school diploma or equivalent required; associate degree preferred. Minimum of 1 year of experience in a medical office, behavioral health clinic, or healthcare administrative setting. Strong verbal and written communication skills. Proficiency with Microsoft Office and electronic health record (EHR) systems. Excellent organizational skills with the ability to manage multiple priorities. Ability to maintain strict confidentiality and professionalism. Strong customer service and interpersonal skills. Preferred Qualifications Experience working in psychology, psychiatry, counseling, or other behavioral health settings. Familiarity with medical terminology and insurance verification processes.
