Job Description

Position Overview The Clinic Office Manager is responsible for overseeing the daily administrative and operational functions of the medical clinic. This role ensures efficient patient flow, staff coordination, compliance with healthcare regulations, and delivery of high-quality patient services. Key Responsibilities Oversee daily clinic operations, including scheduling, patient intake, and workflow efficiency Supervise and support medical assistants and administrative staff Ensure accurate and timely documentation within the electronic health record (EHR) Maintain compliance with OSHA and other regulatory requirements Manage inventory, supplies, and vendor relationships Coordinate patient services including physical exams, lab draws, specimen collection, and vaccines Handle patient concerns and maintain high standards of customer service Assist with billing coordination and reporting as needed Develop and implement office policies and procedures to improve efficiency Minimum Qualifications Minimum one (1) year of supervisory or staff management experience Minimum one (1) year of administrative experience in a healthcare or clinical setting Current certification as CCMA (Certified Clinical Medical Assistant), RMA (Registered Medical Assistant), or CMA (Certified Medical Assistant) Strong organizational and multitasking skills Effective communication and leadership abilities Proficiency with electronic health record (EHR) systems and basic computer applications Preferred Qualifications Experience in occupational health or exam-based clinic settings Knowledge of vaccine administration protocols and lab specimen handling Familiarity with occupational health, disability exams or structured medical reporting Experience with medical billing or insurance processes
