This role is responsible for delivering exceptional customer service, managing appointments, supporting clinic operations, and creating a welcoming environment that reflects our commitment to excellence in aesthetic medicine. The ideal candidate is organized, detail-oriented, sales-minded, and passionate about helping patients achieve their aesthetic goals while ensuring a seamless patient experience. Key ResponsibilitiesPatient Experience & Customer Service Greet and welcome patients with professionalism and warmth. Check patients in and out efficiently. Answer incoming phone calls, emails, text messages, and social media inquiries. Address patient questions regarding treatments, memberships, promotions, and pricing. Ensure every patient receives exceptional service throughout their visit. Handle patient concerns and resolve issues professionally. Appointment Scheduling Schedule, confirm, and manage appointments using clinic software. Coordinate provider schedules to maximize productivity and patient satisfaction. Follow up with patients regarding upcoming appointments and treatment plans. Manage cancellations, waitlists, and appointment rescheduling. Sales & Membership Support Educate patients about clinic services, treatment packages, and membership programs. Promote monthly specials, memberships, and retail products. Assist with treatment plan presentations and patient financing options. Support achievement of clinic sales and retention goals. Administrative Duties Process patient registrations and maintain accurate records. Collect payments and manage daily transactions. Verify patient consent forms and documentation. Maintain confidentiality and compliance with HIPAA regulations. Prepare daily reports and assist with inventory tracking. Keep the reception area clean, organized, and presentable. Marketing & Patient Retention Assist with patient follow-up communications. Encourage online reviews and referrals. Support clinic events, promotions, and marketing initiatives. Build long-term relationships with patients to encourage repeat visits. QualificationsRequired High school diploma or equivalent. Strong communication and interpersonal skills. Excellent organizational and multitasking abilities. Proficiency with Microsoft Office and scheduling software. Professional appearance and demeanor. Preferred Minimum 1 year of customer service, receptionist, hospitality, retail, or medical office experience. Experience in a medical spa, aesthetic clinic, dermatology, plastic surgery, or healthcare setting. Knowledge of aesthetic treatments and skincare products. Experience with electronic medical records (EMR) systems. Sales or membership enrollment experience. Bilingual abilities are a plus.
