This position serves as a trusted partner to clinical leadership, providing centralized coordination, systems-level visibility, and follow-through on key clinical operations initiatives that directly impact service quality, staff development, and program growth. This role is ideal for a highly organized, proactive professional who values being relied upon for accuracy, discretion, and operational excellence in a fast-paced clinical environment. Prior experience in a clinical, healthcare, or behavioral health setting—particularly within ABA—is strongly preferred.
Key Responsibilities:
Clinical Quality & Compliance Oversight Maintain centralized oversight of clinical compliance systems, including supervision requirements, training completion, documentation standards, and certification tracking across regional teams. Monitor BCBA caseload distribution and supervision compliance, including 10% supervision standards and RBT supervision documentation, proactively identifying trends and potential risk areas. Conduct structured audits of clinical documentation, data integrity, and treatment fidelity for assigned regional sites, supporting continuous quality improvement and audit readiness. Track required certification and training compliance (e.g. Safety-Care), ensuring accurate records and proactive reporting to leadership. Support Regional Clinical Director in the completion of internal reviews, payer audits, and regulatory inspections by ensuring documentation readiness and tracking response plans through completion. Training, Systems & Program Development Oversee clinical training fidelity systems, including onboarding, overlap sessions, role-play competencies, and ongoing training benchmarks. Partner with clinical leadership to support consistent implementation of clinical standards and training protocols while allowing for regional nuance. Contribute to the development and refinement of training materials, SOPs, and operational workflows, including onboarding, supervision, and staffing processes. Support CEU development and coordination for RBTs and BCBAs, including scheduling, materials preparation, attendance tracking, and certification. Assist in the organization and development of fieldwork supervision programs for BCBA trainees. Maintain and organize training systems and documentation, including digital platforms (e.g., CentralReach, Google Workspace, Teams). Operational & Administrative Coordination Track key clinical operations indicators, such as low service hours, referral flow, intake status, and follow-up items from leadership meetings. Support new program and clinic launches, ensuring operational readiness and alignment with clinical standards. Maintain shared task systems and dashboards to support leadership visibility, accountability, and prioritization. Support updates to clinical and operational documentation to align with funding source, payer, and state requirements, including associated staff training. Cross-Functional & Leadership Support Support Regional Clinical Director in serving as a liaison between clinical leadership, training teams, and operations, streamlining communication and reducing administrative burden on Directors. Provide structured, concise updates to Regional Clinical Director on clinical operations metrics, trends, and action items. Identify recurring operational barriers impacting clinical quality and elevate insights with proposed solutions. Under the direction of the Regional Clinical Director, collaborates with the Training Coordinator and the Compliance Director to ensure cross-company consistency and efficiencies Outreach & Communications (as assigned) Support regional outreach initiatives, including school district coordination and community events. Assist with regional website updates and targeted social media activities aligned with organizational priorities. Support outreach and communication initiatives Oversee outreach, communication and recruitment efforts for BCBA-level staff across the companies Other duties as assigned by the Regional Clinical Director Requirements Bachelor's degree in a relevant field required; Master's degree preferred. Demonstrated experience in high-level administrative or operations support within a clinical, healthcare, or educational setting. Exceptional organizational skills, attention to detail, and follow-through. Strong written and verbal communication skills. Proficiency with Google Workspace and virtual collaboration tools. Ability to manage sensitive information with discretion and professionalism. Familiarity with ABA terminology and clinical structures (RBT, BCBA, supervision) strongly preferred. Benefits
