Job Description

About Us:
Village Medicine is a dynamic integrative medical clinic focused on providing exceptional patient care through a collaborative team of providers and staff. Our environment is fast-moving, mission-driven, and constantly evolving. We serve patients who often have complex health needs, which means our team is always learning, adapting, and solving problems together. This is not a quiet desk job. It's a role for someone who enjoys figuring things out, managing competing priorities, and being an essential part of keeping a busy clinic running smoothly. We provide comprehensive medical diagnosis, treatment, management, and preventative care. We commonly use phlebotomy, urine, stool, breath, swab, and imaging diagnostic testing. We treat diseases with tools from both modern as well as ancient modalities including pharmaceuticals, herbs, nutritional and IV therapies, mindfulness techniques, minor office surgeries, mental health counseling, psychiatry with medical management, acupuncture, regenerative and prolotherapy, perineural injection therapy, comprehensive microbiome restoration, environmental toxicity chelation, energy medicine, hypnotherapy, massage, pelvic health physical therapy, hormone therapy including bioidenticals as well as multiple offerings of high-intensity focused electromagnetic (HIFEM) technology. Role:
We want to be transparent about what this job is like. Our front desk is the hub of the entire clinic . On any given day you may be: Managing multiple phone calls while checking patients in Helping patients navigate insurance questions or scheduling changes Coordinating with providers and medical assistants in real time Troubleshooting scheduling, billing, or technology issues Responding to patient portal messages and administrative tasks Jumping in wherever the team needs support Some days run smoothly. Other days require creativity, patience, and teamwork to solve unexpected problems. If you enjoy structure, quiet work, and predictable tasks, this may not be the right role. Responsibilities Include:
Patient Experience Maintain a safe, clean, and welcoming clinic environment Provide hospitality and support to patients from check-in through check-out, delivering a white-glove healthcare experience Coordinate patient care and assist patients in following treatment plans, including supplements, lab kits, and other therapies Communicate with providers and support staff regarding patient needs and care coordination Scheduling & Communication Answer multi-line phones and respond to voice messages, texts, and secure patient portal messages Schedule appointments and manage inbound referrals Notify providers of day-of schedule changes, delays, or patient issues Triage calls and information from patients, family members, and referring physicians Administrative & Clinic Operations Collect and safeguard patient demographic, insurance, and payment information Maintain HIPAA and HITECH compliance standards Sort and file records and documentation from outside facilities and referrals Accept deliveries and incoming mail Assist with opening and closing procedures and light housekeeping tasks Support the overall daily operations of the clinic and assist with additional duties as needed

CHARM EHR
is preferrable!)
Schedule & Location:
Full-Time On-Site Monday-Friday Evenings and weekends may be required for special events and group classes
