Full Job Description Job Summary:
The Free Clinic of Southwest Washington's bilingual Front Office Coordinator serves as the primary in-person point of contact for patients and visitors and plays a critical role in creating a welcoming, compassionate, and professional clinic experience. This position is responsible for managing front desk operations, coordinating patient scheduling, answering phones, and ensuring patients receive exceptional customer service from the moment they enter the clinic. The ideal candidate understands that patients should be treated with dignity, respect, and compassion and recognizes the importance of positive face-to-face interactions in healthcare. This role requires strong interpersonal skills, professionalism, flexibility, and the ability to effectively manage multiple priorities in a fast-paced clinic environment while maintaining a calm, friendly, and patient-centered approach.
Responsibilities:
Serve as the primary front desk representative and first in-person point of contact for patients and visitors Greet patients warmly and professionally while creating a welcoming clinic environment Provide exceptional customer service and compassionate support to patients, families, volunteers, and community partners Check patients in and out and obtain/update necessary demographic and contact information Answer multi-line phones and direct calls or assist callers as appropriate Schedule appointments for new and returning patients based on provider availability Coordinate and confirm appropriate follow-up appointments Provide patients with intake paperwork, consent forms, and other required documentation Conduct appointment reminder calls and assist with rescheduling as needed Respond to patient questions and provide general guidance and support regarding clinic services and processes Monitor provider schedules and assist with schedule coordination and adjustments Work collaboratively with clinical staff, volunteers, interpreters, and community partners Assist patients in locating community resources and referrals for services not provided by the clinic Maintain accurate documentation within the electronic health record (EHR) system Support front office organization, workflow, and administrative operations Maintain patient confidentiality and comply with HIPAA regulations Participate in team meetings, trainings, and quality improvement efforts as requested Perform other related duties as assigned
Qualifications and Skills:
High school diploma required (Associate degree preferred) Spanish bilingual required 2+ years of experience in medical front office, scheduling, customer service, or healthcare administrative support preferred Strong customer service skills with the ability to create positive patient experiences through face-to-face interactions Excellent interpersonal, communication, and problem-solving skills Experience working with electronic health records (EHR); athenaNet experience preferred Ability to prioritize tasks and manage multiple responsibilities efficiently in a busy clinic environment Strong organizational skills and attention to detail Ability to work effectively in a collaborative, team-based environment Proficiency in Microsoft Office and standard office technology Knowledge of HIPAA regulations and patient confidentiality requirements Knowledge of medical and dental terminology preferred Experience working with underserved or diverse patient populations is a plus
