Case Coordination | Healthcare Operations | Client Service Full-Time | Non-Exempt (Hourly) Help Families Find Answers When They Need Them Most At EPIARX Diagnostics, we help families, attorneys, healthcare professionals, and communities obtain answers during some of life's most difficult moments. We are a growing private pathology practice specializing in independent autopsy and pathology services. Our work provides clarity, truth, documentation, and peace of mind when unanswered questions matter most. As we continue to grow, we are seeking a highly organized Healthcare Case Operations Coordinator to ensure every case moves smoothly from consultation through completion. This is not simply an administrative support position. This is a mission-critical operations role responsible for coordinating the people, documentation, logistics, and workflows that keep cases moving forward and clients supported. Why This Role Matters When families and organizations engage EPIARX, they are often navigating complex, time-sensitive, and emotionally difficult situations. Your work ensures that nothing falls through the cracks. You will coordinate case logistics, maintain accurate records, manage follow-up activities, and help ensure that every case progresses efficiently and professionally. You are the operational backbone of the practice. What You'll Do Once a client commits to working with EPIARX, you will take ownership of the administrative and operational execution of the case.
Your responsibilities will include:
Coordinating case logistics, including scheduling with physicians, funeral homes, drivers, and other partners Managing and maintaining CRM data and case tracking systems Ensuring all documentation is complete, accurate, and timely Following up on outstanding tasks, records, and deliverables Supporting communication between clients, physicians, vendors, and internal team members Identifying potential delays or issues before they impact case progress Supporting broader operational and administrative initiatives as the practice grows Assisting with operational process improvements and workflow optimization This role requires strong attention to detail, excellent follow-through, and the ability to manage multiple moving parts simultaneously. What Success Looks Like First 30 Days Learn the EPIARX case lifecycle and workflow Become proficient in our CRM and operational systems Begin supporting active cases and administrative workflows Develop an understanding of key stakeholders and external partners First 60 Days Independently manage case logistics and coordination Proactively track and follow up on outstanding items Demonstrate strong organization and ownership of assigned workflows Help improve consistency and reliability across operational processes First 90 Days Fully own day-to-day case coordination responsibilities Anticipate issues and proactively resolve bottlenecks Ensure cases move efficiently with minimal oversight Become a trusted operational resource for physicians, clients, and leadership Ideal Background We recognize that strong candidates may come from a variety of industries and experiences. You may be an excellent fit if you have experience in: Medical office coordination Healthcare administration Patient services coordination Intake coordination Case coordination or case management support Physician practice support Healthcare scheduling and referral coordination Legal operations or legal support Professional services administration Direct pathology experience is not required. We provide training on our services, systems, case workflows, and industry-specific processes. We are looking for someone with strong organizational and coordination skills who is eager to learn and grow with the practice.
Requirements:
