Job Summary The AI Implementation Coordinator is a new role reporting directly to the AI Integration Lead at CK Family Services. This position serves as the operational layer between strategic direction and hands-on execution of AI-assisted workflows. The AI Implementation Coordinator is responsible for receiving clear assignments, running AI tools with precision, documenting outcomes meticulously, and iterating based on structured feedback. Initial focus areas include high-burden documentation workflows across CKFS program areas: clinical progress notes, case management documentation, intake and placement paperwork, and foster care verification documentation. Over a 90-day period, the AI Implementation Coordinator will build and refine prompt templates, pilot workflows with program staff, and compile quantifiable results that support a data-backed case for broader AI adoption across the organization. 2. General Responsibilities AI Workflow Execution Execute AI-assisted workflows using Anthropic Claude, Microsoft 365 Copilot, and OpenAI tools in compliance with organizational data privacy standards. Build, test, and refine prompt templates for documentation tasks including progress notes, case reports, placement summaries, and licensing correspondence. Operate within established HIPAA and FERPA compliance protocols at all times; escalate any data handling concerns immediately to the AI Integration Lead. Piloting and Iteration Coordinate pilot programs with program staff across child welfare and behavioral health service lines. Gather structured feedback from staff participants and incorporate findings into successive workflow iterations. Identify workflow failure points and surface them clearly to the AI Integration Lead with recommended adjustments. Documentation and Reporting Maintain detailed logs of all workflow inputs, outputs, time comparisons, and quality observations for every pilot conducted. Track metrics including time saved per task, staff satisfaction, and output quality across all active workflows. Translate results into clear, executive-ready summaries demonstrating ROI and projected organizational impact. Contribute to a formal 90-day report to leadership summarizing findings, recommendations, and a proposed roadmap for expanded AI integration. 3. Qualifications Education and Experience Associate's degree or higher in a relevant field, OR 2+ years of professional experience in operations, administration, human services, or a related role. Equivalent combination of education and experience will be considered. Required Demonstrated, hands-on experience with AI tools (Anthropic Claude, ChatGPT, Microsoft Copilot, or equivalent) in a professional or organizational context. Exceptional attention to detail with strong documentation habits; able to produce consistent, accurate records without prompting. Ability to receive direction and execute assigned tasks with precision and minimal rework. Comfort working adjacent to clinical, compliance, or human services content; understands that language matters and that AI outputs require staff review. Strong written communication skills; able to write clearly and appropriately for both frontline staff and executive audiences. Basic spreadsheet proficiency sufficient for tracking and presenting metrics (Microsoft Excel or equivalent). Commitment to maintaining confidentiality and operating within HIPAA and FERPA guidelines. Preferred Background in nonprofit operations, human services administration, healthcare administration, or a related field. Familiarity with HIPAA and FERPA compliance requirements in an operational context. Experience with the Microsoft 365 suite, including Teams, Outlook, Word, and Excel. Exposure to electronic health record (EHR) or case management software platforms. Located in the Dallas-Fort Worth metroplex; ability to travel to CKFS offices for in-person collaboration when needed. Experience supporting organizational change initiatives or technology adoption efforts.
