Unlike traditional agencies, our model integrates experienced caregivers with physician oversight, allowing us to provide a higher level of personalized care and support. We are growing and looking for a highly organized, dependable, and proactive Administrative Assistant / Operations Assistant to support our leadership team. This position works directly with our Administrator and Operations Manager to help keep daily operations running smoothly. Position Overview This is a part-time position ideal for someone who enjoys variety, problem-solving, organization, and working in a fast-paced healthcare environment. No two days are the same. One day may involve onboarding a new caregiver, while the next may include preparing client paperwork, coordinating schedules, organizing records, or assisting with marketing and community outreach efforts. The ideal candidate is detail-oriented, tech-savvy, professional, and able to manage multiple priorities while maintaining excellent customer service. ResponsibilitiesAdministrative Support Assist leadership with day-to-day administrative tasks Maintain electronic records and client files Prepare documents, reports, forms, and correspondence Manage data entry and ensure records are accurate and up to date Monitor shared inboxes and assist with communication follow-up Support office organization and process improvement initiatives Client & Care Coordination Support Assist with new client intake processes Help prepare service agreements and onboarding paperwork Coordinate collection of required documents and signatures Update client information in agency software systems Assist with caregiver-client matching and scheduling needs Provide excellent customer service to clients, families, and referral partners Caregiver Support & Recruiting Assist with caregiver onboarding and orientation processes Track licenses, certifications, and compliance requirements Support recruiting efforts and applicant screening Schedule interviews and assist with hiring documentation Help maintain employee records and training documentation Operations Support Assist the Operations Manager with scheduling and staffing needs Help coordinate coverage for caregiver call-outs and schedule changes Support quality assurance and compliance initiatives Assist with ordering office supplies, marketing materials, and equipment Participate in special projects as assigned Marketing & Community Outreach Support Assist with community events and marketing activities Help maintain referral databases and contact lists Prepare marketing packets and outreach materials Support social media, review requests, and community engagement efforts Qualifications Administrative, office management, healthcare, home care, or customer service experience preferred Strong organizational and time-management skills Excellent verbal and written communication skills Ability to manage multiple tasks and changing priorities Strong attention to detail Proficiency with Google Workspace (Gmail, Docs, Sheets, Calendar) Comfortable learning new software systems Professional and compassionate demeanor Ability to work independently while collaborating with a team Preferred Experience Home care, healthcare, senior care, or medical office experience Scheduling or staffing coordination experience Recruiting or onboarding experience Experience with CRM or scheduling software Knowledge of Washington State home care operations Schedule & Compensation Part-time position Opportunity for increased hours as the company grows Competitive hourly pay based on experience Why Join Elite Care Northwest?
