Application TipsJOB SUMMARY
Serve as subject matter expert and lead to medical assistants, acting as quality control for medical billing and coding. Perform customer service duties, clerical support, data entry, and accounting functions for Public Health Services Department (PHSD) in compliance with County policies and procedures under basic supervision. Provide customer service, clerical support, data entry, and basic bookkeeping functions for PHSD clinical programs and perform duties within the scope of authority and training and in compliance with County policies. Review client electronic health records for billing and coding accuracy, and assess and monitor scheduling, front desk operations, client paperwork, and information and/or medical record requests. Work closely with the Nurse Supervisors to create or develop core training and associated materials for Medical Assistants. Provide training on medical billing and other front or back-office competencies, both during scheduled staff meetings and through one-on-one instruction, as identified by the Nurse Supervisor or Division Manager. Serve in a lead capacity for the medical assistants, including performing medical assistant job duties to help cover the clinic workload. Provide information and assistance to clients, assist customers with applications, government forms, and other documents and explain County policies and procedures. Review applications and other documents for compliance to rules and regulations. Review and update files and distribute related paperwork and maintain records and filing systems. Answer incoming phone calls and direct callers to the correct person or work group and take messages and relays as necessary. Perform cashier duties in accordance with standard office procedures and County policy, receive and record payments, prepare and issue receipts, and balance daily work and monies received. Provide educational material and personalized information to clients during pre-screening procedures. Assist the providers, take vital signs, and perform STD screenings. Assist clients to access other health care and community services programs. Assist professional staff with clinic setup and patient examinations as directed. Maintain absolute confidentiality of work-related issues, customer records, and restricted County information. Perform other related duties as required.POSITION SPECIFIC DUTIES
Monitor adherence to clinical workflows, policies, and procedures; provide real-time guidance and coaching, as needed. Assist with onboarding and training of new medical assistants, including EHR workflow, clinic protocols, and competency validation. Support performance improvement initiatives by identifying workflow gaps and recommending process enhancements. Assist with quality assurance activities, including demographic audits, scanning audits, and compliance monitoring. Address patient service concerns at the point of care and escalate issues to management when appropriate. Ensure compliance with infection control standards, OSHA requirements, HIPAA regulations, and county policies. Assist with scheduling adjustments and staff coverage coordination as directed by management. Participate in staff meetings and contribute to clinic planning and operational discussions. Perform other related duties as assigned within scope of training and authority. Assist in identifying and correcting billing discrepancies, rejected claims, and documentation errors in coordination with billing staff. Monitor insurance eligibility verification processes and ensure appropriate payer information is entered into EHR. Maintain knowledge of payer requirements, sliding fee scales, and public health program billing guidelines. Must have a Medical Assistant Certificate from an approved and accredited medical assistant program, and submit copy of certificate with application. Three (3) years of experience working as a medical assistant (MA) in an outpatient &/or inpatient clinic setting. Or an equivalent combination of relevant education and/or experience may substitute for the minimum requirements.Preferred Qualifications :
Certified Medical Assistant (CMA) provided through the American Association of Medical Assistants or a Registered Medical Assistant (RMA) provided through American Medical Technologist. Five (5) years of experience working as a medical assistant (MA) in an outpatient &/or inpatient clinic setting. Bi-lingual English-Spanish language skills. Knowledge of regional community service agencies and community resources. Knowledge of basic principles of accounting, record keeping, and records management. Skill in preparing and maintaining accurate records and generating reports. Skill in operating a personal computer utilizing standard and specialized software. Ability to follow verbal and written instructions.PHYSICAL DEMANDS
The work requires Independent body mobility to stand, walk, bend, and sit for prolonged periods of time and/or drive a vehicle. Manual dexterity to reach and grasp; manual dexterity to handwrite or use a computer keyboard; vision sufficient to see/read; hear and speak to communicate with customers in person and over the phone.WORK ENVIRONMENT
