The Opportunity We are seeking an experienced, enthusiastic and compassionate Medical Front Office/ Patient Care Specialist. The ideal candidate will bring a passion for fitness, patient care, and wellness, and maintain a positive, calm demeanor under pressure. If you possess a quick assimilation of information, and an initiative-taking, problem-solving approach, and is enthusiastic… We'd love to meet you! In this role, you will be the first point of contact for our patients, ensuring a seamless and welcoming experience. You will assist with clinical support services, making a meaningful impact on patient care and operational efficiency. Key Responsibilities (Mainly Front Desk/Administrative Duties): Warmly greet and welcome all patients/guests. Manage patient check-in/ check-out with care and efficiency. Handle all incoming communications—including phone calls, emails, faxes, and patient portal messages with professionalism and efficiency. Coordinate and schedule patient appointments with ease (conference calls, in person, zoom meetings, while managing related admin tasks, follow-ups, scanning, and accurate data entry- to ensure a seamless exp. from start to finish. Ensure all required medical records forms and consents are accurately uploaded to patient charts for timely provider review and HIPAA compliance. Act as a liaison between patients, providers, team members by communicating, addressing inquiries promptly to ensure concerns are resolved clearly/quickly.
Billing/Payments:
Generate and deliver invoices for products/services including treatments, meds, supplements, specialty testing, shipping/ tracking labels, etc. Utilize various software for a seamless workflow (e.g., Microsoft Office- Word, Excel, Outlook, EMR/EHR, utilize AI efficiently, Zoom, Lab testing portals, etc) . Download Labs, upload to patient's chart for Physician Review. Be a team Player! Participate in team meetings/office improvement initiatives. The Ideal Candidate… Licensed Medical Assistant. 2+ yrs experience in a medical office is a must! Oncology, IV certification, and Phlebotomy experience is a big plus. Previous experience in an Integrative clinical setting preferred Communicates clearly and professionally, both in person and in writing Learns quickly and isn't afraid to ask questions or take initiative Brings positive energy and stays composed under pressure Self-starter who creates structure, stays organized without constant direction Can juggle multiple tasks in a fast-paced environment with ease Is tech-savvy and confident using MS Office, EMR and other computer systems Takes pride in their role and aims to excel, not just show up Delivers top-notch customer service with a "patient-first" mindset Knows their way around medical terminology and healthcare processes Pays attention to the small things and helps maintain a standard of excellence
