Job Description

Position Overview Pristine Ethereal Aesthetics is seeking an enthusiastic, polished, and patient-focused Medical Spa Receptionist / Medical Assistant to join our growing team. This dual-role position is ideal for a highly organized professional who enjoys providing exceptional customer service while supporting clinical operations in a luxury aesthetic environment. As the first point of contact for our patients, you will create a welcoming and professional experience from the moment they enter our medical spa. In addition to front office responsibilities, you will assist providers with patient care, treatment preparation, documentation, and clinical support to ensure a seamless and elevated patient journey. The ideal candidate is personable, detail-oriented, adaptable, and passionate about aesthetics, wellness, and delivering outstanding patient experiences. Key ResponsibilitiesFront Office & Patient Experience Greet patients and visitors warmly while creating a luxury, welcoming environment Manage patient check-in and check-out procedures efficiently and professionally Answer incoming calls, respond to inquiries, and assist with scheduling consultations and treatments Verify patient demographics, insurance information (when applicable), and complete intake documentation Coordinate appointment scheduling, confirmations, follow-up communications, and recall campaigns Process payments, maintain accurate records, and assist with retail product sales Educate patients on treatment preparation, post-care instructions, membership programs, and skincare products Maintain a clean, organized, and professional reception area Take before and after photographs Obtain Vital Signs and report to the Nurse or NP. As a certified Medical Assistant give injections under the supervision of RN, NP, PA or MD. Clinical & Medical Assistant Duties Prepare treatment rooms and ensure all supplies and equipment are properly stocked and sanitized Assist providers with aesthetic treatments including Botox®, dermal fillers, laser procedures, microneedling, PRP, and other non-surgical cosmetic services Obtain and document vital signs, medical histories, and treatment consent forms Process required paperwork and accurately update electronic health records (EHR) Assist with photography documentation and treatment planning records Provide pre- and post-treatment patient education as appropriate Support specimen collection, laboratory processing, and medication administration as permitted by scope of practice Maintain compliance with HIPAA, OSHA, infection control, and safety protocols Assist with inventory management and ordering of medical and retail supplies Qualifications Medical Assistant certification preferred Minimum 1 year of experience in a medical office, dermatology practice, plastic surgery office, medical spa, or outpatient healthcare setting preferred Experience with aesthetic medicine, cosmetic procedures, or skincare products highly desirable Knowledge of medical terminology, anatomy, physiology, and patient care practices Familiarity with electronic health record (EHR) systems and medical documentation Current BLS certification preferred Strong communication and interpersonal skills with a focus on exceptional customer service Ability to multitask and thrive in a fast-paced, patient-centered environment Professional appearance and demeanor consistent with a luxury medical aesthetics practice Sales experience and ability to discuss treatment plans, memberships, and skincare products is a plus Desired Characteristics Positive, energetic, and team-oriented attitude Strong attention to detail and organizational skills Compassionate and patient-focused approach Ability to build trust and rapport with patients Commitment to maintaining confidentiality and professionalism Passion for aesthetics, wellness, and helping patients look and feel their best Benefits Competitive compensation Employee discounts on aesthetic treatments and skincare products Professional development and training opportunities Supportive and collaborative work environment Opportunity for growth within a rapidly expanding medical aesthetics practice Join Pristine Ethereal Aesthetics and become part of a team dedicated to providing exceptional aesthetic care, outstanding patient experiences, and natural-looking results that help our patients feel confident and empowered.

$19.02 - $26.00 per hour
