Job Description

Medical Assistant — Front & Back Office (Dual-Practice) Spectrum Skin Clinic (aesthetics / cosmetic dermatology) and The Pur Health (medical & wellness), led by Dr. Sabeen Munib, MD, are hiring one Medical Assistant who can run both the front desk and the back (clinical) office and own the patient experience end to end. This is not a passive receptionist role; it is an operations-heavy patient coordinator plus clinical support role. Why this role exists Demand is strong, and the practice needs a reliable operator to protect the schedule, follow up with every lead, enforce policies, recover missed revenue, and keep the patient experience tight from first inquiry through post-visit follow-up. Front office responsibilities Reception & patient flow: greet patients, check-in/check-out, keep the schedule running on time across both practices. Scheduling & calendar management in
Boulevard:
book, reschedule, and confirm appointments; manage the waitlist and fill cancellations. Lead response & conversion (Spruce, phone, email): respond to every inbound inquiry the same business day; follow a structured outreach cadence until the lead books or opts out; work the recovery pipeline of past leads. Appointment confirmations & reminders: ensure every patient receives a booking confirmation and reminder; proactively confirm next-day appointments to reduce no-shows.
Cancellation policy enforcement:
apply the practice's cancellation/no-show policy consistently; document exceptions; recover the slot via rebooking or waitlist.
Messaging triage:
monitor Spruce and Boulevard messages throughout the day; route clinical questions to the physician; answer logistics directly. Payments & checkout: process payments, memberships, packages, and gift cards in Boulevard. Records & intake: collect and verify intake forms, consents, insurance/ID; keep patient profiles complete and accurate. Back office / clinical responsibilities Room patients and take vitals; prepare and turn over treatment rooms. Assist the physician during medical visits and aesthetic procedures — injectables, laser & energy treatments, skin treatments, and hair restoration. Procedure setup & support: prep trays, supplies, numbing, and devices; chaperone and support patient comfort. Clinical documentation & charting in the EMR; capture consents and before/after photos correctly. ePrescribe support and medication/prescription workflow as directed by the physician. Sterilization & infection control; maintain a clean, compliant clinical environment.
Inventory management:
track and reorder medical and aesthetic supplies; manage par levels and avoid stockouts. Before/after photography to practice standards for aesthetic cases. Tools you'll use Boulevard (scheduling, payments, packages) Spruce (patient messaging and calls) Elation EMR (charting, ePrescribe) Google Business, website, Instagram, and Facebook inquiries as lead sources Required qualifications Certified Medical Assistant (CMA/RMA) or equivalent clinical MA experience. Current BLS/CPR certification. Experience in a medical, dermatology, or aesthetics practice (aesthetics/med-spa experience strongly preferred). Comfortable with EMR and practice-management software; experience with Boulevard, Spruce, or Elation a strong plus. Professional phone and text communication and genuine customer-service instincts. Bilingual (English/Spanish) a plus. Who thrives here Ownership mentality — treats the schedule, the leads, and the patient experience as their own responsibility. Follow-through — does not let a lead, a confirmation, or a message fall through the cracks. Calm, warm, and professional with high-expectation patients; discreet with sensitive information (HIPAA). Organized and proactive; comfortable moving between the front desk and the clinical floor. How success is measured Lead response time: same business day at minimum; ideally within 15-30 minutes during business hours.
Lead-to-consult conversion:
measurable improvement in inquiries that turn into booked consults.
Confirmation coverage:
100% of booked patients receive a confirmation and reminder. No-show / cancellation reduction through proactive confirmations and consistent policy enforcement. End-of-day inbox zero for Spruce and Boulevard messages. Cancelled-slot recovery via rebooking and waitlist use. Complete intake, consent, photo, and documentation compliance.
Job Type:
