This hybrid role combines front-office coordination with clinical support to ensure a seamless, elevated patient experience. The ideal candidate is professional, organized, and passionate about aesthetics, wellness, and patient care. Key ResponsibilitiesFront Office / Reception Duties Greet and welcome patients with a warm, professional demeanor Manage appointment scheduling, confirmations, and rescheduling Answer phone calls, text messages, and online inquiries promptly Verify patient information and maintain accurate records in EMR systems Process payments, issue receipts, and explain pricing or packages Maintain a clean, organized, and inviting reception area Coordinate patient flow to minimize wait times and optimize provider schedules Clinical / Medical Assistant Duties Prepare treatment rooms and ensure proper sterilization protocols Assist providers during aesthetic procedures (e.g., Botox, fillers, facials, IV therapy) Take and record vital signs and patient histories when required Capture before-and-after photos following clinic protocols Educate patients on pre- and post-treatment care instructions Maintain inventory of medical and retail supplies; notify management of shortages Ensure compliance with infection control and safety standards Qualifications Certification as a Medical Assistant (desired) Previous experience in a medical spa, dermatology, or aesthetic clinic strongly preferred Strong knowledge of aesthetic treatments and skincare products is a plus Excellent communication and interpersonal skills Proficiency in EMR systems and scheduling software Ability to multitask in a fast-paced, client-focused environment Professional appearance and demeanor Preferred Skills Experience with treatments such as neurotoxins, dermal fillers, laser procedures, or IV therapy Sales experience in aesthetic or retail environments Bilingual (English/Spanish) is a plus Work Environment & Expectations Fast-paced, high-end aesthetic environment Flexibility to work weekends as needed Compensation & Benefits Competitive hourly wage based on experience Performance-based incentives and commissions Employee discounts on treatments and products Opportunities for growth within the practice Acknowledgment The employee acknowledges that they have read, understood, and agree to perform the duties and responsibilities outlined in this job description.
