Competitive; based on experience About Tim & Hagen Mobility Tim & Hagen Mobility is a trusted non-medical transportation company dedicated to providing safe, reliable, and compassionate transportation services to individuals throughout the Colorado Springs community. We are seeking a professional and organized Administrative Assistant to support our daily operations and help ensure exceptional service for our clients and transportation team. Position Summary The Administrative Assistant will play a vital role in supporting office operations, coordinating transportation schedules, communicating with clients and drivers, and maintaining accurate records. The ideal candidate is detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced environment. Essential Duties and Responsibilities Answer incoming phone calls and provide exceptional customer service. Schedule, coordinate, and confirm transportation appointments. Communicate trip details, schedule changes, and updates with drivers. Maintain accurate client, trip, and transportation records. Perform data entry, filing, scanning, and document management. Monitor and respond to emails and customer inquiries promptly. Assist with onboarding paperwork and maintaining employee files. Prepare reports, spreadsheets, and other administrative documents. Support billing, invoicing, and payment tracking as needed. Ensure compliance with company policies and transportation regulations. Assist management with various administrative and operational task Qualifications High school diploma or GED required. Associate degree or administrative certification preferred. Minimum of 1 year of administrative, office, customer service, or transportation-related experience. Strong organizational and multitasking skills. Excellent written and verbal communication abilities. Proficiency with Microsoft Office Suite (Word, Excel, Outlook). Ability to work independently and as part of a team. Strong attention to detail and problem-solving skills. Professional demeanor and commitment to customer service. Preferred Qualifications Experience in transportation, logistics, dispatching, or healthcare services. Familiarity with scheduling software and GPS-based transportation systems. Bilingual English/Spanish is a plus. Experience handling confidential information.
